Employee information management for CCTV Installation Firms: job sheets and who did what
When a camera fails, a customer asks who fitted it. When a premises complains, the firm needs to know who was there. Good records answer both.

Records are scattered: employee details in a notebook, job sheets in a bag, customer calls on the coordinator's phone. When a customer disputes a visit or a team member leaves, the firm can only guess who was on the job and what was set up. Personal files are thin, and ID or training proofs go missing.
A tidy system has two parts. Employee records hold personal details, documents, training and equipment issued. Job records link each installation to a team, a date, the equipment and the settings. Both are kept in a simple format with a named owner. Review the sheets with the coordinator each week so gaps are fixed while the job is still fresh in memory. A quarterly spot check by someone outside the coordinator's team keeps the habit alive.
How to set it up
1. List what you keep
For employees: documents, contact, training, equipment issued. For jobs: customer, team, date, equipment, settings.
2. Name an owner for each
HR for employee files, the coordinator for job sheets. Write down who updates what and by when.
3. Use a standard sheet
One format for every job, filled in before the team leaves the site. Photos of the installation attached where useful.
4. Control access
Limit who can see personal data and customer addresses. Remove access when someone leaves.
5. Review a sample monthly
Pick ten jobs and five employees and see whether files are complete. Tie it to HR documentation practice.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick one old job and time how long it takes to find who did it.
- Count employee files missing basic documents.
- Check who has access to customer addresses.
- Ask the coordinator where job sheets are kept.

Questions owners ask
Keep it only as long as needed, restrict access and avoid sharing on open chats. Confirm your data handling duties with a qualified professional.
A standard job sheet filled in at every site, collected the same day. That alone solves most 'who did this' questions.
Only what they need for the job, and only for as long as it is needed. Remove details once the job is complete, and follow your policy on photos and messages.
