Attendance, shift and leave process for Swimming Schools: dawn batches, lifeguard cover and holiday weeks

A pool opens before most offices, and parents expect the coach to be there. Attendance in a swimming school is about being on deck at the right time, with enough adults, season after season.

Why attendance, shift and leave process matters in swimming schools

Swimming batches start early and end late. A coach may teach 6 am, go to another job, and return for the 5 pm squad. Lifeguards sit through long stretches of watching. If the roster lives in a chat group, one change gets lost, and the first sign is a lane without a coach.

Leave is hard in April and May, when every batch is full, and easy in the quiet months. A leave rule that is the same all year ends up being waived in the rush and resented in the lull. Name the blocked weeks early, and agree who covers whom before they start.

How to set it up

  1. 1. Draw the weekly roster by batch

List every batch, coach and lifeguard, and the minimum adults for each. Put the roster where staff can see it, and mark the lines that have only one person.

  2. 2. Record arrival at the pool

A simple sign-in on a sheet or phone, with time and batch, gives you a true record for pay and for any incident review. Use the same method for all roles.

  3. 3. Name a cover ladder

For each batch, name a first and second cover person and tell them. When a message comes at 5 am, one phone call fills the gap.

  4. 4. Block the busy weeks

Mark the summer holiday and admission weeks as limited leave, and ask people to apply early. Offer leave in the lull as the trade.

  5. 5. Review the month

Count late arrivals, uncovered batches and swaps. Share the count with the head coach and fix the repeating causes.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Count batches last month that ran with fewer adults than your rule requires.
  • Ask three coaches how they learn about a roster change, and compare their answers.
  • Check whether any lifeguard works long stretches without a break.
  • Look at leave taken in April and May against the rest of the year.

Questions owners ask

Fix the roster a week ahead and ask for changes through one person. Last minute swaps will still happen, so keep the cover ladder current and record each swap in the same place.
