HR documentation process for Football Academies: coach files, letters and match-day terms

When a parent, school or tournament organiser asks about a coach, the academy must answer quickly. A documentation process keeps licences, terms and reviews in one place and agreed in writing.

Why HR documentation process matters in football academies

Academies grow from friends who coach together. Papers follow later, if at all. A coach's licence sits on his phone, match-day pay is a verbal promise and nobody remembers the notice agreed. When a coach leaves or a dispute starts, both sides rely on memory, and memory differs.

A short set of documents solves most of this. An engagement letter for each coach, a licence and first-aid record with dates, a match-day and travel note, a code of conduct for working with children and a file index. One person owns them and reviews once a year.

How to set it up

  1. 1. List the documents every coach needs

Engagement letter, identity and contact, emergency contact, licence, first-aid record, code of conduct and travel terms.

  2. 2. Write a plain engagement letter

State role, age group, hours, match-day duty, pay, notice and settlement date. Keep it to one or two pages.

  3. 3. Add a match-day and travel note

Explain reporting time, travel arrangements, meals, supervision of players and what to do in an emergency.

  4. 4. Keep one file per coach

Store papers with an index showing what is held and when each item was last updated. See the HR documentation process.

  5. 5. Review yearly and at exit

Check licence dates, update the letter if terms change and close the file properly when a coach leaves.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Choose two coaches and see whether their letters are signed and current.
  • Find a coach's licence and first-aid date within five minutes.
  • Ask who holds the code of conduct and whether coaches have signed it.
  • Check that match-day terms for the last tournament were written.

Questions owners ask

A short letter and a code of conduct are wise even for volunteers. They clarify expectations and protect the children. Ask a qualified professional whether any further steps apply.
