Attendance, shift and leave process for Beauty academies: timetables for day, evening and weekend batches
An academy runs a day batch, an evening batch and a weekend batch, often with the same few trainers. Without a clear timetable and leave rule, classes get covered by whoever is free.

Share your requirementsWhy attendance, shift and leave process matters in beauty academies
Trainers at an academy often work staggered hours: a morning practical, a gap, an evening theory class and a Saturday workshop. Leave is approved by the owner on a phone call, and a batch discovers on the day that its trainer is not coming. Students lose a lesson and the academy loses trust.
A simple process fixes the pattern. Build a termly timetable that shows each trainer's classes, outside work days and cover. Record trainer and coordinator attendance in one place. Leave requests are made ahead with cover named, and exam and showcase weeks are blocked for leave. The coordinator becomes the one point who confirms changes to students.
How to set it up
1. Draw one termly timetable
List every batch, trainer, lab and hour, including weekends. Mark outside work days agreed for each trainer.
2. Name a cover trainer for each course
Agree in advance who steps in, and share the module so the substitute continues the lesson rather than starting over.
3. Record attendance for staff and students
Use one sheet or register for trainer presence and batch attendance, and compare them at month end.
4. Block leave around key weeks
Exam, certificate and showcase weeks are marked as no-leave, and requests elsewhere need two weeks' notice with cover named.
5. Tell students about changes the same day
The coordinator informs batches of any change by message and notes it in the register.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count lessons last term that ran late or with a different trainer without notice.
- Check if the timetable shows each trainer's outside work days.
- Ask a coordinator how a leave request is approved today.
- Compare trainer attendance with student attendance for one batch.

Questions owners ask
Agree the days in writing at the start of each term, and keep an alternate trainer ready. Treat a last-minute clash as an exception that needs the coordinator's approval.
The academic coordinator or centre head, with the cover plan attached. The owner joins only for long absences or the key weeks.
Rotate them fairly, give a rest day after a heavy weekend, and ask a qualified professional about hours and rest rules that apply to your staff.
