Attendance, shift and leave process for Solar EPC companies: remote sites, rotations and leave

A solar site has no gate register worth the name unless someone makes one. Attendance for engineers, supervisors and gangs needs a simple record, a rotation and a leave rule that suits remote work.

Why attendance, shift and leave process matters in solar EPC companies

People on a solar project work long days, six or seven days a week at peak, in places where the nearest town is an hour away. Leave is taken in blocks when someone travels home, and returns slip when buses or trains do. Without a record, nobody knows who worked how many days or who is owed rest.

A good process is small. A daily attendance entry per person per site, a rotation that gives engineers a regular break and a leave rule that explains how to apply, who approves and how a replacement is arranged. The same record then supports allowance claims and settles disputes.

How to set it up

  1. 1. Mark attendance each day on site

The supervisor records names present, hours and any absence on one sheet or phone entry. Gangs from sub-contractors are included so the headcount is known.

  2. 2. Agree a rotation for engineers

Decide how many days on site and how many at home, with travel days counted. Publish it before the project starts so families can plan.

  3. 3. Write a plain leave rule

How to ask, who approves, how much notice and what happens during the peak. Cover emergencies in a sentence, and say how a replacement is found.

  4. 4. Match attendance to allowance claims

Check allowance days against the attendance sheet each month. Differences are discussed with the person, not settled by guesswork.

  5. 5. Review hours and rest monthly

List anyone who has worked long stretches without a rest day and plan relief. The documentation process keeps the records tidy.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Pick a site and see whether the attendance sheet matches the people who were actually there last week.
  • Find the longest run of working days for a supervisor in the last quarter.
  • Ask engineers how leave was approved on their last site and who covered for them.
  • Compare allowance days claimed with attendance days for a sample of five people.

Questions owners ask

Ask the gang leader to give names daily and have your supervisor confirm the count at start of shift. A short list, kept at the site office, is enough to know who was present.
