Attendance, shift and leave process for Pilgrimage institutions: a season roster that gives rest
In the yatra season, a reception desk without a person is a queue of tired visitors. A roster with rest built in keeps desks staffed without burning out the same few people.

Share your requirementsWhy attendance, shift and leave process matters in pilgrimage institutions
Pilgrimage institutions cope by asking the permanent team to work longer. In week one it works. By week three people are absent, short-tempered or ill, and the roster is rewritten daily. After the season, staff feel their sacrifice went unnoticed, and some do not return.
A season roster is drawn before the peak begins. It lists each desk and shift, the people for each, a limit on consecutive long days and a rest day pattern. Leave is closed on the busiest days and planned for before and after. A daily sign-in records who covered which desk, which helps when disputes arise and when thanks are due.
How to set it up
1. List desks and shifts for the peak
Reception, kitchen, queue, transport, cash desk and security, with start and end times. Include night duty.
2. Allocate people and backups
Permanent staff, seasonal helpers and volunteers, with a named backup for each desk.
3. Set limits on long days
Agree the maximum run of long days before a rest day. Name who may approve an exception and record it.
4. Close leave on peak days, open it around them
Tell staff the key dates early and offer firm leave before and after the season.
5. Keep a daily sign-in and review weekly
A register by desk and shift. The manager reads it each week, notes strain and adjusts the roster. The reporting and analytics work uses it to plan next year.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count how many staff worked more than a week of long days without rest last season.
- Ask a desk supervisor who would cover if someone fell ill on the busiest day.
- Look at last season's leave requests and see how many were refused at short notice.
- Check whether any record shows which person staffed a given desk on a given date.

Questions owners ask
For emergencies, yes, with a clear approval route. Otherwise, tell staff early that peak days are closed and offer firm leave before and after the season.
Include them in the same roster with the same limits on long days. They are less familiar with the work, so pair each with an experienced person for the first days.
Often yes, for reception, security and late arrivals. Set it as a proper rotation, with a rest rule for the day after, rather than leaving it to the same volunteers.
