Attendance, shift and leave process for Plotted Developers: tracking a field team that is rarely at a desk
Plot sales staff start at a layout and end at a buyer's gate. A normal attendance register tells you little, so the record needs to show where they were, for how long and what they did.

Share your requirementsWhy attendance, shift and leave process matters in plotted developers
Most plotted developers ask field staff to mark presence at the office each morning, then send them out. The register says present, but the office cannot say which layout they visited, how many buyers they met or when they finished. When weekend work is traded for time off, the register does not show that either.
A better record is a daily field log. Each person writes the layouts visited, times, buyers or brokers met and vehicle used. The team leader signs it that evening. Leave and time in lieu are entered on the same sheet, so the owner can answer questions without searching messages.
How to set it up
1. Define the working day for the field
State the start point, the usual hours and what counts as a field day. For layout supervisors, define a visit pattern.
2. Use one daily log
Columns for layout, in time, out time, number of buyers, vehicle and remarks. Keep it to one page and sign it each evening.
3. Create a weekend rota
List who works which weekend, agree a fixed period for time off in lieu and track it in the same file.
4. Handle leave with advance notice
Ask for notice, balance leave across the sales team and avoid launch weekends. The policies work can set the standard.
5. Review monthly with team leaders
Compare logs with bookings and visits, note patterns such as long idle gaps or repeated late starts, and talk to the person first.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Take one executive's log for last week and see if his day can be reconstructed.
- Count weekends worked by each executive this quarter.
- Check how much time off in lieu is owed and whether it is recorded.
- Ask a layout supervisor when he last logged a visit with photographs.

Questions owners ask
Some firms use it, but it needs staff consent and a clear policy, and the owner should take advice from a qualified professional. A signed log is simpler and shows what was done, not only where.
Decide in advance whether travel counts as work, and write it. People accept rules they were told about, and dislike discovering them at pay time.
Rotate. Tell them when their compensatory time is due and make sure it is taken, since unspent time off becomes a grievance.
