HR reporting and analytics for Integrated Facility Management Companies: one monthly view of people and cost per client
An IFM company runs on thin margins per client. A short monthly report that shows people, cost and exits by site helps area managers act before a contract slips.

Most IFM companies know their billing by client. Fewer know, month by month, how many people are on each site against the sheet, how much overtime was paid, how many posts were empty, and who left. When the numbers do arrive, they are in separate files, and the area manager must piece them together.
A good report is short. One page per area and one line per site, showing planned posts, filled posts, overtime hours, replacements, exits and the main reason. It is used in a monthly review where the area manager says what will change at the three worst sites. Numbers matter only when they lead to a decision.
How to set it up
1. Choose the few numbers
Planned and filled posts, overtime hours, exits in the month, open days for vacancies and replacement cost. Add one line for training done.
2. Collect from one source
Ask each site manager to send a simple sheet by a fixed date, or draw from the attendance record. Avoid asking for the same data twice.
3. Show site by site
A one page table per area with the worst sites at the top. Use colours only if everyone reads them the same way.
4. Hold a monthly review
Area manager, HR and operations sit for forty minutes to choose actions for the three weakest sites. See attendance and shift records for the base data.
5. Track actions to the next month
Write what was decided and check it next time. Drop numbers nobody uses.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Try to produce, for one client, the posts planned, filled and overtime for last month in under an hour.
- Ask area managers which number they would want first.
- Check whether anyone follows up on actions from the last report.
- See if exits are recorded with a reason, by site.

Questions owners ask
One table per area with posts planned, filled, overtime, exits and open vacancy days by site. Add a short note on the worst two. More columns can wait until the first set is used.
A named HR or operations coordinator prepares it, and each area manager owns the actions for their sites. A report with no owner is soon ignored.
Keep the form short, give a fixed date, show them how it is used and feed back what the numbers led to. People stop sending data that disappears.
