Grievance and disciplinary process for Integrated Facility Management Companies: fair handling of complaints and misconduct across sites

Staff work inside client premises, away from head office, under supervisors of different styles. A clear grievance and disciplinary route protects both staff and the company's name.

Why grievance and disciplinary process matters in integrated facility management companies

A cleaner at a campus feels unfairly treated by a supervisor. The head office is two hours away, the site manager is a friend of the supervisor, and the client's security staff are watching. Without a route, the person either stays silent or leaves, or the matter goes to the client in an angry way. On the other side, a real case of misconduct at a client site, such as theft or abuse, can lose a contract if mishandled.

A simple process names who hears a complaint, how it is recorded, how quickly it is answered and who decides on discipline. It treats like cases alike across sites, involves the client only where needed and respects the dignity of both parties.

How to set it up

  1. 1. Name the route

Staff go first to the site manager, then to the area manager, then to HR. For complaints about the site manager, a direct line to the area head or HR. Share phone numbers in a language staff read.

  2. 2. Record every complaint

A short form with date, person, issue and what was agreed. Give the person a copy. Review the log monthly for patterns by site and supervisor.

  3. 3. Separate fact finding from decision

Someone who is not directly involved looks into the matter, hears both sides and writes what was found. A senior then decides. Keep the person informed.

  4. 4. Match action to the offence

A short guide for minor, serious and grave issues with the usual response and the need for a hearing. Confirm the process with a qualified professional. See HR policies.

  5. 5. Handle the client's part carefully

Decide who talks to the client, what is shared and how the person is protected. Do not remove staff to please a client without hearing them.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Ask five staff at different sites how they would raise a complaint about their supervisor.
  • Read the last ten disciplinary cases and see if similar acts led to similar outcomes.
  • Check how long it takes to answer a complaint from a distant site.
  • See whether the log shows repeat complaints against the same supervisor.
