HR documentation process for Cattle farms: letters, advances and duty notes
Many cattle farms run on a handshake. A few simple documents protect both the farmer and the worker without adding paperwork nobody will read.

Farm workers often have no written terms. Hours, pay, rest days, housing and what happens on leaving are agreed by word. When a dispute comes, the owner and worker remember differently, and neither can show what was said. Advances and deductions are the most common cause of trouble.
The answer is a small set of plain documents: an appointment note, an advance register, a duty sheet for each round and a record of animal-handling training. Each fits on a page, is read aloud where needed and signed or thumb-marked by the worker. Keep copies in one place.
How to set it up
1. Write a one-page appointment note
State role, start date, pay, pay date, hours, weekly off and who to speak to. Read it aloud and give the worker a copy.
2. Keep an advance register
Record date, amount, reason and repayment plan, with the worker's mark each time. Review it monthly with the worker.
3. Make a duty sheet for each round
List what milking, feeding, shed and calving rounds involve, in order. Use it to induct new hands and settle arguments.
4. Record handling and hygiene training
Name, date, topic and who showed it. This ties to the onboarding process for new hands.
5. File and back up
Keep one folder per worker, in a locked place, plus a phone photo of each key document. Decide who may look at them.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count workers with no written terms of any kind.
- Total advances outstanding and check each has a record.
- Ask a milker to explain his duties and compare with what you think they are.
- Check where documents are stored and who can reach them.

Questions owners ask
Role, pay and date, hours, weekly rest, any housing or food and notice on leaving. Keep it short and plain. Confirm legal requirements for your farm and state with a qualified professional.
Read the note aloud in their language, ask them to repeat the main points and record a thumb mark with a witness. Keep a copy for them, and for a family member if they wish.
A notebook is a start, but it must show date, amount and repayment, and be agreed with the worker each time. A register with a signature or thumb mark per entry is safer for both sides.
