HR reporting and analytics for Animation Studios: load, overtime and exits by department
A studio runs on artist hours. A short weekly report on load, overtime and exits shows which department is carrying the strain while there is still time to act.

Share your requirementsWhy HR reporting and analytics matters in animation studios
Animation studios track shots and episodes closely, and people far less. By the time a department is clearly overloaded, the delivery is already in danger and two artists have decided to leave. The signs were there in the hours, but nobody was looking at them together.
A small set of reports is enough. Hours worked against plan by department, overtime by person, shots reassigned, joiners and leavers by month, and freelance spend against budget. Kept to a single page and reviewed weekly with the production manager, they give a clear picture of the pipeline's people.
How to set it up
1. Choose five numbers
Hours against plan, overtime by person, reassigned shots, joiners and leavers, and freelance spend. Resist adding more.
2. Collect them weekly
From the time sheets, the shot tracker and the attendance record, put into one sheet with a column per department.
3. Look for patterns
Which department is above plan for three weeks, which artists work late most often, and where reassignments cluster.
4. Meet weekly for fifteen minutes
The production manager, the leads and the owner review the page and agree on one action for the week.
5. Review exits quarterly
Look at who left, from which department and after how long, and compare with the load figures for the same period.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Check whether you can say today how many hours each department is above plan.
- Find out who worked the most overtime over the last month.
- Count exits from the department that was most overloaded in the last push.
- See whether any report was used to change a decision this quarter.

Questions owners ask
Start with the shot tracker and the attendance record, and improve time sheets slowly. Even rough weekly figures show direction, and consistent use improves accuracy over time.
No. Five numbers on one sheet take under an hour a week. The aim is to see problems early, not to build a large reporting system.
The owner, production manager and leads. Share the department view with the team when it helps to explain a plan, but keep individual overtime details with the managers.
