HR documentation process for Tablet Manufacturers: records that stand up on a batch day
Tablet plants run on documents. HR files, training records and role sheets need to be complete and easy to find, so an audit visit or a customer question does not stop the line.

On busy days, training records are signed late, role sheets are out of date and joining files are incomplete. Nobody can say quickly who was trained on which machine or when. When a client or an auditor asks, the quality team searches paper and memory. The same gaps create doubt about who is allowed to run a coating pan or a compression machine.
A tidy documentation process keeps a short list of records per person: joining papers, role sheet, training record, skill sign offs and review notes. Each has an owner, a place and a date rule. Records are checked monthly against the shift roster, and a missing signature is chased within a week, not at audit time.
How to set it up
1. List what each file must hold
Write a plain checklist: joining documents, role sheet, training record, skill sign offs, review notes and leave summary.
2. Name an owner for each record type
Decide who writes it, who checks it and where it is kept. Avoid having a single person hold every file.
3. Set date rules
Training is recorded within days of the session. Role sheets carry a version date. Missing items are chased in a week.
4. Check against the roster monthly
Compare who ran which machine with who is signed off for it. Report gaps to the plant head. See HR documentation process for a fuller approach.
5. Keep it simple to retrieve
Use one index, whether paper or software, so any record can be found in minutes by someone other than its owner.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick five staff files and count missing items in each.
- Check if anyone ran a machine without a recorded sign off.
- Measure how long it takes to find one person's training record.
- Count role sheets with no version date.

Questions owners ask
A named person in HR or the quality office, with a backup. Avoid a single person who alone knows where things are.
Within days, while people remember. Late signing creates doubt and wastes time for everyone when someone asks.
Either works if retrieval is quick and the owner is clear. Software helps once the plant has many staff and machines to track.
