Employee information management for Pharma Packaging Manufacturers: one training matrix by person
A packaging plant must show who is trained on what. A single, current set of employee records makes this a ten-minute job instead of a week of searching.

Without one set of records, details sit in several places. The personnel file has the joining date, the training register is with the quality office, and phone numbers are on a supervisor's mobile. When a client asks for the training history of an operator, three people have to be asked, and each version differs. Leavers still show on rosters, and new joiners are missed.
Good looks like one sheet or system with a single row per person: joining date, role, shift, training by process and date, sign-offs held, emergency contact and leaving date. One person is accountable for keeping it correct, and changes are entered within a day. Reports for audit are read from the same source.
How to set it up
1. Pick one master list and retire the rest
Choose a single sheet or system as the source. Copy details from other lists once, mark the old ones as closed and tell supervisors where to look.
2. Add training columns by process
One column per press, die or process, with date and trainer. This is the matrix a client auditor will ask for. The employee information management approach covers structure.
3. Name an owner and a deputy
One person keeps it current and a second covers leave. Joiners and leavers are entered the day they happen, from a simple form.
4. Link changes to events
A role change, a new sign-off or a transfer between shifts triggers an entry. Supervisors send these to the owner by the end of the week.
5. Check one operator end to end each month
Ask for the full record of one person and see if it is complete and agrees with the floor. Fix gaps and repeat next month with someone else.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Time yourself producing the full training record of one operator.
- Count how many people on the shift roster are missing from the master list.
- Look for leavers still shown as active.
- Check whether training dates agree with the dates on clearance sheets.

Questions owners ask
A row per person and a column per process, with the date trained, the trainer and the sign-off level. Keep it readable on one screen or a printed page. A client auditor wants to see this quickly.
Limit access to those who need it, keep one master copy, and avoid sending files by messaging apps. Ask a qualified professional what rules apply to you. Name the person responsible so access has an owner.
Not at the start. A well-kept sheet with one owner serves a small plant. Software helps when you have many people, several shifts or multiple sites, and when records must flow to payroll and reports.
