Employee information management for Herbal Product Manufacturers: a returning-workers list
A herbal unit loses skill each year when seasonal sorters and grinders drift away. A clean list of who worked, how well and how to reach them turns that loss into a recall.

Without records, the seasonal crew is remembered by the supervisor, not held by the company. Names are on slips, numbers are on a phone and the best sorter is known only as the quiet man from the village. When the supervisor leaves or changes, the memory goes too, and each harvest starts from nothing.
Good looks like one sheet per person with name, village, phone, past seasons, tasks done, skill notes and whether they are keen to return. Joining and leaving dates are kept, and the list is checked before each harvest. It is private, held by a named person, and shared only with the people who need it for hiring.
How to set it up
1. Collect the basics from every seasonal worker
Name, phone, village, emergency contact, tasks done and dates worked. Take it on the first day, on paper or a simple sheet, and have the worker confirm it.
2. Add a short skill note per person
The supervisor adds one line: sorts well, strong on drying, careful with weighing, or needs watching. Keep it factual and review it with the worker if they ask.
3. Hold the list in one place with one owner
Name a person responsible for keeping it current, such as the HR or stores clerk. Follow the employee information management approach for access and backups.
4. Invite the best back before harvest
Call or message those marked as keen a few weeks ahead with likely dates. Early notice beats a call in the week of arrival.
5. Update the list when the season ends
Mark who finished well, who left early and why, and any change of number. A ten-minute update at season end saves days next year.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count how many of last season's sorters you can reach by phone today.
- Check whether every seasonal worker has a skill note beside the name.
- Ask who holds the worker list and what happens if that person leaves.
- Look for anyone with two phone numbers or two spellings in your records.

Questions owners ask
Keep what you need to run the work: name, contact, village, tasks, dates and a skill note. Avoid collecting more than you use. Store it in one place with a named owner, and confirm with a qualified professional what rules apply to you.
For a small herbal unit, yes, if one person owns it and there is a backup copy. Move to software only when the list grows beyond what one person can keep clean. The habit matters more than the tool.
Show them their own details and correct mistakes. Skill notes should be fair and written so you would be comfortable showing them. If a note cannot be said to the worker's face, rewrite it.
