HR documentation process for Commercial Printers: job tickets, proof sign-offs and staff files
A print job is a ticket that moves through many hands. Documents that record proof approval, changes and who did what stop disputes and repeat reprints.

Customer changes come by phone, message and email, and reach the press as a spoken instruction. A reprint is argued over: did the customer approve the proof, or did the shop miss a change? Staff records are no better, with joining details on paper in a drawer and training and warnings not written anywhere.
Good looks like a job ticket with proof sign-off, a change line and the name of each person who handled it. Staff files hold appointment letters, role details, training and reviews in one place. When a reprint or a dispute arises, the owner finds the answer from the file in minutes.
How to set it up
1. Redesign the job ticket
Add proof approval with name and date, a line for each customer change and a place for press and finishing sign-off. Keep it to one page.
2. Capture changes in writing
Any phone change is noted on the ticket and confirmed by message. Staff at the counter are shown how, and why it protects them.
3. Set up one staff file each
Appointment letter, role, joining documents, training, reviews and warnings. Keep a checklist for what a file should hold. See the HR documentation process.
4. Keep training and skills sheets
Note who has been trained on the press, guillotine and folder, and when. This also shows who may run which machine.
5. Audit a sample each quarter
Pick five tickets and five staff files and look for gaps. Fix the cause, not only the file, and tell the team what you found.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Take the last ten reprints and see how many had a signed proof on the ticket.
- Count customer changes noted in writing against those given by phone.
- Open five staff files and tick what is missing against a simple list.
- Check whether training on the guillotine is recorded for each operator.

Questions owners ask
Customer, job details, proof approval with name and date, any changes, and who handled each stage. Add only what the floor will fill in, or the ticket will be ignored.
Retention depends on the records and your circumstances. Ask a qualified professional what applies to you, and write a simple rule that the file owner follows.
One named person, with a lock or restricted access. Files hold personal details, so keep them out of the shop floor and share only what is needed.
