HR documentation process for Dry Cleaners: Employee files and garment condition records

A dry cleaner keeps paper in two places: the garment tag and the worker's file. When both are clear, a damage dispute and a pay dispute are both easier to settle.

Why HR documentation process matters in dry cleaners

Small shops run on memory. The owner remembers when a presser joined, what was said about a warning and which counter staff took leave. When a worker leaves or a dispute arises, the memory is not enough and the owner has nothing to show.

Good records are short and dated. Each worker has a file with joining details, role, skills signed, leave taken, warnings and appreciation. Each garment has a condition note at receipt. Together they protect the employee, the customer and the shop.

How to set it up

  1. 1. Open a file for each worker

Include a photograph, address, contact and a person to call in an emergency, role and joining date, agreed pay basis, and the skills ladder rung. Keep it locked and share access only with the owner and manager.

  2. 2. Give written terms at joining

A short letter stating role, hours, weekly off, pay basis, probation and notice. The worker signs a copy and keeps one. A qualified professional can check the wording.

  3. 3. Add dated notes for events

Training completed, warnings, appreciation, leave and any change of role or pay. Write the facts and who was present.

  4. 4. Write garment condition at receipt

A tag note on stains, tears, labels and trims, with the customer's remark. Have the attendant sign, and keep the slip until the garment is collected.

  5. 5. Review the files twice a year

Check that each file is current and that anything missing is added. Retain what you need and dispose of the rest safely, as advised by your professional, using the employee information management approach.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Pull out three worker files at random and see what is missing.
  • Check that every current worker holds a written letter of terms.
  • Look at five recent claims and see whether the condition at receipt was recorded.
  • Ask where files are kept and who can see them.
