HR documentation process for SCADA Systems Companies: engineer files and customer handover records
SCADA projects produce signal lists, alarm logic and test records. HR documents should keep track of who knew what, so cover is possible.

Project documents often live on engineers' laptops, and employee records live in chat messages. When an engineer resigns, the firm has no note of which customers they covered, what training they had or what they promised in the last review. Handover happens in a rush in the last week.
A clear document process fixes this. Each employee has a file with offer, role, skills and training. Each customer has a people sheet: who configured, who commissioned, who supports and the dates. Exit handover notes are standard. Templates keep records short, so busy engineers actually fill them.
How to set it up
1. List what must exist
For employees: offer, role, training, reviews. For customers: engineer list, handover note, support contacts. Mark which exist today.
2. Choose one home for each
Pick a shared drive or HR tool with a clear folder pattern and access rules. Retire personal storage for official records.
3. Write short templates
Create a one-page employee review form, a customer people sheet and an exit handover note. See our HR documentation process work.
4. Collect what is missing
Ask engineers to hand in certificates and training evidence, and managers to confirm who covers which customer.
5. Audit a sample monthly
Check two customers and three employee files each month. Fix any gaps found and record who closed each one.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Customers without a named backup engineer on file
- Employees without current role description or training record
- Exit handover notes written in the last year
- Documents stored only on a personal laptop

Questions owners ask
Keep copies of the training and certificates that matter to your work and to customers, with expiry dates where relevant. Ask your adviser what you must retain.
Keep the template short, make it part of project close and exit, and have a manager check it. Notes that are never read soon stop being written.
In a shared customer sheet owned by the project or support manager, not in personal phones. Restrict who can edit.
