HR documentation process for Machine Vision Companies: application notes and people records that last
Vision work depends on know-how about lighting, optics and product variation. Documents turn that know-how from one engineer's head into company property.

A vision job is tuned on a customer's line over weeks. The settings, lighting choices and sample sets live on one engineer's laptop. When that engineer moves to another project or resigns, the support team cannot explain why a camera angle was chosen, and a customer call becomes a trip. HR records have the same issue, with offers and role changes scattered in chat.
A tidy document set covers both. Each application has a note: product, defect types, lighting, camera, sample images and tuning history. Each employee has a file with role, skills and training. Shared names and folders mean anyone can find them, and leavers hand over notes as part of their exit.
How to set it up
1. List the document types
Application notes, tuning logs, test sample sets, employee files, training records and handover checklists. Mark which exist today and where they are kept.
2. Create a one-page application note
Fix a template: customer, product, defect list, optics and lighting, software version and who tuned. Fill it at project close, not later.
3. Keep a simple tuning log
Record every change to thresholds or lighting after go-live, with date, reason and who did it. This helps support find what changed. See our HR documentation process work.
4. Tidy employee files
One folder per employee with offer, role description, training and review notes. Set who may open it.
5. Make leavers hand over
Add a handover note for applications to the exit checklist. A manager signs it off before the last working day.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Live applications with no written note
- Last tuning change on each customer line and who made it
- Employees with no role description on file
- Exits in the last year where no handover note was written

Questions owners ask
In a shared place that more than one person can open, with a fixed folder per customer. A personal laptop or chat thread is not safe enough.
They will if the template is short and filling it is part of project close. Check one note a month and praise good ones.
A few lines per change. The saving is in support calls where the log answers what changed, so engineers stop reconstructing it from memory.
