Get Every New Starter Ready for the Floor, Whichever Shift They Join

A property takes on new people in every week of the year and on every shift, so an induction that lives in a Monday meeting room reaches only some of them. We design the joining and probation routine your hotel or restaurant runs: what is ready before the first shift, who receives the starter in the department, and how probation ends in a decision. We then help set it up on your own system or on the GullyHR platform.

The starting point

Do New Starters Know What Is Expected by the End of Their First Shift?

In hospitality the starter is rostered straight away, because the gap was already there. Uniform, locker, name badge, system login and a clear picture of the service sequence arrive in whatever order the day allows, and the department head learns of the joining on the morning the person appears.

We help you give each starter the same clear start in every department and on every shift.

You may be experiencing:

  • Starters who join on a night or weekend shift and meet nobody from HR, with the property induction postponed indefinitely.
  • Uniform, name badge, locker and key handed over after the first shift, or not at all.
  • PMS, POS or time-clock access arriving days late, so the new person borrows a colleague's login.
  • Grooming, conduct and guest-interaction standards explained once, in passing, by whoever is nearest.
  • Casual and seasonal staff joining for a function with no briefing and no record of who they are.
  • Staff accommodation allocated on arrival with no house rules shared and no one to show the way to the staff entrance.
  • Probation that runs out unreviewed, so the department head's view is never written down.

What we can help with

Our Onboarding and Probation Services for Hospitality

  • Joining Journey Review

Follow recent starters from offer to confirmation across front office, housekeeping, kitchen and service. See where steps were missed or doubled, which shifts were left out, and what the department head actually knew in advance.

  • Pre-joining Plan

Define what a starter hears before the first day: reporting person, shift and reporting time, uniform to bring or collect, documents to carry, accommodation and transport arrangements, and who to call if something changes.

  • Shift-proof Induction Design

Build an induction that can be given on any shift, including nights, from short modules: property orientation, fire exits and emergency routes, hygiene, guest conduct and service sequence. Record each module as completed.

  • Department Induction and Buddy

Write the department induction for each area, because the head of department shapes the working experience. Assign a buddy from the same shift for the first fortnight, with a short list of what the buddy covers.

  • Uniform, Badge, Locker and Access Readiness

List what must be ready on the day and who prepares it: uniform sizes, name badge, locker and key, PMS and POS logins, time-clock enrolment, meal arrangements. Record issue dates so items can be recovered on exit.

  • Casual and Seasonal Rapid Induction

Design a short briefing and identity record for event and seasonal staff, so a person joining for one function or one season is briefed, recorded and recognised on the floor.

  • Probation Framework by Role Family

Set review points and plain criteria for each role family: grooming, punctuality across shifts, service or hygiene standards, teamwork and learning. Give the department head a short format that takes minutes to fill.

  • Confirmation, Extension and Letters

Define who recommends, who approves and how the reason is recorded. Prepare formats for confirmation, extension and the rare case where a role does not continue, each with a dated decision behind it.

The deliverables

What You Receive

Depending on the agreed scope, you can expect:

  • A map of how starters join today, with gaps marked by shift and department.
  • A pre-joining pack and a day-one plan the department can follow.
  • A modular induction that can be run on any shift.
  • Department induction checklists with named owners.
  • A readiness list for uniform, badge, locker, keys and system access.
  • A short briefing and record format for casual and seasonal staff.
  • A probation framework, review formats and letter templates.
  • Joining workflow, reminders and records set up on your system or on GullyHR.

Step by step

How We Work

  1. Walk Through Recent Joinings

We follow a few recent starters, including some who joined at night or at a weekend, and speak with their department heads to see what happened and not what the procedure says.

  2. Agree the Standard for Day One

We settle what every starter must have before the first shift, what can follow in the first week, and who in each department is responsible.

  3. Design and Test

We prepare the checklists, modules, formats and letters, and try them in one or two departments before wider use.

  4. Set It Up

We configure the workflow, reminders and records in your system or on the GullyHR platform, so pending items and probation dates are visible to HR and to department heads.

  5. Review with the First Intake

We note where you stand before work starts. After the first group of starters, we review against that starting point and adjust.

The difference

Settle Starters Faster and Decide Probation on Purpose

A defined start helps your property:

We do not promise outcomes. We record a baseline before work starts, covering how long starters wait for uniform and system access, the share inducted before their first shift, and the probation reviews held on time, and report against it, so you can see what changed and what did not.

  • Brief every starter on the same standards, on any shift.
  • Have uniform, badge, locker and access ready before the first shift.
  • Give department heads notice of who joins and what they need.
  • Record who worked a function, with a short briefing on file.
  • See which probation reviews are due and which have slipped.
  • Keep confirmation decisions and their reasons on record.

How it usually shows up in hospitality

New hospitality staff are quickly in front of guests. A new front-desk executive, a housekeeper or a server is introduced to the property, the uniform and grooming rules, the department head and the system within a day, and starts the shift soon after. Service standards, the property's way of greeting and handling complaints, the fire and safety basics and the guest profile are explained in pieces. Staff accommodation, uniform, ID and locker are arranged separately. Large intakes, such as for a season or a launch, are inducted in a batch, and the individual is not noticed. Probation is a date and not a review. Many leave in the first month. Properties that run seasonal launches often induct a large intake in a single week and then lose a good share of them by the end of the month.

Common challenges

Where it goes wrong in hospitality

  • Standards are learnt on the floor

Grooming, greeting and complaint handling are taught in fragments.

  • Practicalities lag

Accommodation, uniform and lockers arrive after the person has started.

  • Batches hide individuals

In a large intake, nobody notices who is struggling.

  • Probation is a date

No one reviews the new person's progress.

A better process

What a working version looks like

  1. 01

    Run a structured first week

Property, standards, safety, guest scenarios and the department, with a buddy. The onboarding process holds the plan. Include a walk of the property from the guest's side, so staff see what the guest sees.

  2. 02

    Settle the practicalities first

Accommodation, uniform, ID and locker ready on the first day.

  3. 03

    Notice individuals in batches

A check-in with each person at the end of week one.

  4. 04

    Review at set points

Short reviews at the end of week two, month one and before confirmation.

What to check this week

  • Ask a new housekeeper what she was taught about greeting a guest.
  • Check whether accommodation and uniform were ready on day one.
  • Ask how a new joiner who is struggling is noticed in a batch.
  • Look at the last probation decision.
  • Find how many leave in the first month.

Confirm with a qualified professional. What applies depends on your establishment, your state and your sector, and it changes. This page describes a practice; it does not state a legal position.

What this looks like in hospitality

The parts of onboarding and probation that are specific to this sector, rather than general.

Onboarding for a 24-Hour Operation

New starters on every shift, every week.

What this covers

A property onboards continuously and across all hours. An induction scheduled for Monday mornings in a meeting room serves only the staff who happen to work Monday mornings.

  • Induction deliverable on any shift, including nights
  • Department-specific induction alongside property induction
  • Grooming, conduct and guest interaction standards
  • PMS, POS and system access provisioned on day one
  • Uniform, locker and name badge issued before the first shift
  • Shift pattern, split shifts and roster explained
  • Buddy assigned within the department
  • Probation review at a stated date, by the department head

Department-specific induction carries more weight than property induction here, because the department head sets the working experience and the property orientation is largely context.

Questions on this, in hospitality

By building it from short modules that can be delivered by a trained supervisor on any shift, with each module recorded. The longer property orientation can follow within the first days, scheduled around the roster.

Make the First Shift the Same for Every Starter

If starters reach the floor before the uniform, the login or the briefing does, look at what happens between acceptance and the end of probation.

The general method — what onboarding and probation covers, the questions it answers and what an engagement produces — is the same whatever the sector, and is set out on the onboarding and probation page. What is above is the part that differs for hospitality.

To run this in a system rather than on paper, see onboarding and employee movement.

Where to start

Most engagements begin with a review of how this runs in your business today, then a written process and the sequence to implement it.
