Attendance, shift and leave process for Gyms: covering 5 am and 9 pm without burning out the team
Gym hours are long and uneven. A clear roster for the two peaks, with named cover and fair weekly offs, keeps the floor safe and the team rested.

A typical gym day opens before dawn and closes late at night. Trainers often work split shifts, in the morning and then again in the evening, with a long gap between. Messages like "I will come late today" arrive on the manager's phone, and the early shift slips. Members notice before the owner does.
A usable process names an opener and a closer each day, a backup for each, and a rule on swaps. Attendance is marked at entry, so late arrival is visible and not argued about. Festival and weekend demand is considered before approving leave, and each trainer gets a real weekly off. The roster is shared at least a week ahead.
How to set it up
1. Name an opener and a closer each day
One person owns each peak, and a second is on call. The names are on a shared roster, not in a chat thread.
2. Plan split shifts with care
Keep gaps between parts of a split shift reasonable, and avoid asking the same person to close and open the next morning.
3. Mark attendance at the gym door
Use one record for every trainer, housekeeping and front desk staff, so lateness and cover can be seen on the same page.
4. Write a swap rule
Swaps are allowed when both agree and the manager approves in writing, with the roster updated the same day.
5. Review leave against busy weeks
Check requests against the new-year rush, festival weeks and campaigns, and keep two trainers in reserve for those weeks.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count how many mornings last month the opener arrived after the first member.
- See whether anyone worked a closing shift and an opening shift back to back.
- Ask three staff where they check the next week's roster.
- Note how many swaps were agreed by phone and never recorded.

Questions owners ask
Call the named backup. If none is free, the manager covers, then reviews the pattern. Repeated late notice is a conduct matter and needs a written conversation.
Offer them where the work allows, but rotate early shifts fairly. A roster that always gives the same person the difficult shift pushes them out.
It can, in a clear way. Missed or late shifts without notice might reduce an attendance element of pay. Write the rule down and have a qualified professional review it.
