Attendance, shift and leave process for Kirana chains: opening time, weekly offs and festival cover across all branches
Long opening hours and thin crews make attendance the main thing in a kirana chain. A simple daily record, rolling offs and a festival plan keep stores open and staff fairly treated.

Attendance is often a notebook in the shop or a message to the owner. At month end the in-charge recalls who worked late and who took a day. Overtime is disputed, offs are lost and the owner cannot tell which branch is chronically short.
A better routine is small. Each in-charge sends opening and closing times and names by phone each day, the cluster supervisor checks the weekly total and the owner sees one summary. Weekly offs sit on a monthly chart, with swaps noted. Leave is requested ahead and approved against cover. Festival weeks have a roster agreed a month before, with extra part-time hands and clear rules on extra hours.
How to set it up
1. Capture opening and closing each day
A photo of the day's register or a short message with names and times, sent before the shop shuts. Agree a standard format.
2. Chart weekly offs for the month
Each person's off day is fixed and displayed. Swaps are approved by the supervisor and noted. A missed off is repaid within a set time.
3. Record extra hours daily
Hours beyond the usual are noted that day, with the reason, and settled in the same month's pay. Confirm the rules with your professional adviser.
4. Plan cover for leave
Leave requests go to the supervisor with dates. A cluster floater or part-timer is lined up before approval, not after.
5. Agree a festival roster early
Blackout dates for leave, extra helpers, shift times and meals and travel for late closing are set a month ahead and shared with all.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Compare last month's register at one store with what was paid.
- Count the weekly offs missed in the last quarter by store.
- Ask the supervisor how many days of notice leave gets on average.
- See whether last year's festival week was planned in writing.

Questions owners ask
Use a daily message or photo from each in-charge in one agreed format. The supervisor checks it weekly. It is simple enough to survive busy days and good enough to support pay.
Record it, ask why and fix the crew or opening hours if it recurs. Confirm with a qualified professional the rules on overtime, rest days and working hours that apply to your stores.
Yes, if the supervisor approves and the swap is noted. Without a record, swaps turn into arguments at month end. Make sure no one is left without a rest day for long stretches.
