HR documentation process for Freight transporters: branch staff files, driver papers and loader records
Freight transporters hold people across many towns and many engagement types. Documentation keeps a single clear record for each person, whether branch clerk, driver or loader.

In a branch network, personnel papers end up wherever the branch manager keeps them. A clerk's file in one town holds a joining letter, while another town has nothing. Hired drivers and loaders are known by first name only. When a claim or a dispute arises, the company cannot show who was on duty or what they agreed.
A common documentation process sets what every file holds, who keeps it and how head office checks it. It separates the types of people, such as employees, regular casual loaders and outside drivers, and keeps a basic record for each. It also records handovers when a branch manager changes.
How to set it up
1. Decide the file contents by group
List what a clerk file, driver file and loader record must hold. Keep the lists short and the same at every branch.
2. Choose where originals sit
Decide which papers stay at the branch and which go to head office. Name a person in each place.
3. Issue a joining pack
Give every new person a letter or sheet covering role, place, pay terms and conduct rules, and keep a signed copy. See HR policies for conduct rules.
4. Record handovers
When a branch manager or supervisor leaves, write a short note on staff, pending issues and keys or cash held, signed by both.
5. Audit a few branches each quarter
Head office checks a sample of files and records, notes gaps and agrees a date to fix them.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick three branches and compare the content of personnel files side by side.
- Ask a branch manager for the record of the loaders engaged last week.
- Check whether each hired driver on your routes has a name, contact and approval note on file.
- Look for the last handover note when a branch manager changed.

Questions owners ask
Name, contact, dates worked, who engaged them and the terms agreed. Keep them simple and consistent, and ask a qualified professional what further records your situation needs.
Make the standard short, give a simple folder layout and have a head office person check a few branches every quarter. Praise good branches openly.
A short log of trips, delays and incidents helps in fair reviews and in disputes. Keep it factual and let the driver see it.
