Attendance, shift and leave process for Recreational Clubs: weekend rosters members can rely on

Members arrive when staff would like to be off. A club needs a roster that covers weekends, holidays and tournaments, and that staff accept as fair, or the best people move to a steadier place.

Why attendance, shift and leave process matters in recreational clubs

Most clubs roster by habit. The manager remembers who worked last Sunday, the senior staff slip out of weekend duty and the newest people cover every holiday. Leave requests pile up before long weekends. A bartender swaps with a friend by phone and the manager learns when the bar opens short.

A sound process records who is on each section, whether pool, gym, courts, bar or banquet, for each day and shift. It sets a fair weekend share, a method for swaps and a rest gap after late events. It lets the manager see weeks ahead where cover is thin, so camps and tournaments do not catch the club out.

How to set it up

  1. 1. List every section and its minimum cover

For pool, gym, courts, desk, bar, restaurant and grounds, note the least number of people needed at each hour, including early swimmers and late diners.

  2. 2. Count weekend and holiday duty per person

Take the last quarter and tally Saturdays, Sundays and public holidays by name. Set a fair share by grade so the count is visible to all.

  3. 3. Write the swap method

A swap is made in writing, approved by the section head and entered on the roster before the day. Phone swaps that nobody records are the root of surprise gaps.

  4. 4. Plan leave around the club calendar

Mark tournaments, annual day, summer camp and school holidays. Ask for leave early for those weeks and tell staff the rule well ahead.

  5. 5. Add a rest gap after late events

If a banquet closes after midnight, the same staff do not open the next morning. Put the gap into the roster itself, not into a verbal promise.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Count weekend shifts worked by each person last month and note the highest and lowest.
  • List the last three times a section ran short and what caused it.
  • Check whether swaps are recorded anywhere before the shift.
  • Look at next quarter's calendar and mark the weeks where leave will cluster.

Questions owners ask

You can, if the reason is written and applied to all in the same grade. Otherwise juniors carry the load and leave. A lighter share for seniors, openly stated, is usually accepted.
