HR strategy and workforce planning for Test Preparation Platforms: staffing around the exam calendar
The exam dates set the year. Workforce planning for a test preparation platform means knowing, months ahead, how many educators, writers and doubt solvers each peak will need.

Most platforms staff for the exam they are in. Hiring for doubt support starts when the queue is already long. Question writing begins when the test series is due. By then, good people are taken, new joiners are untrained and existing staff work every night.
A year plan removes most of the surprise. List the exams you serve, their dates and the products that peak around them. For each peak, estimate the people needed by role. Work back to hiring and training dates. Keep a bench of past doubt solvers and writers who are glad to return for a season.
How to set it up
1. Map the year
Write each exam date, result date and product launch on one calendar. Mark the weeks when live classes, tests and doubts peak.
2. Estimate people needed by role at each peak
Use last season's queue lengths, class counts and test volumes to estimate educators, writers, reviewers and doubt solvers needed.
3. Work back to hiring and training dates
Allow time to find, select and train people. Put the dates for each role on the calendar and name an owner.
4. Keep a seasonal bench
Record past doubt solvers, writers and mentors who worked well. Stay in touch and ask them early for the next season.
5. Review after each exam
Compare plan with reality: queue times, overtime, errors and exits. Adjust the numbers for the next exam.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Take last exam season and count the overtime hours of your doubt team.
- List the hiring dates for the next peak and see who owns each.
- Check how many seasonal helpers from last year could be reached today.
- Compare the queue time in the peak week with the quiet week.

Questions owners ask
Work back from the peak: time to find people, select them, train them and let them settle. For doubt solvers this can be four to six weeks; for question writers it may be several months.
Yes. Returning staff need less training, make fewer errors and know your style. A short message and a fair rate each season is much cheaper than starting from nothing.
Decide beforehand the rules for extra hours, who may be asked and how time off will follow. Without it, the same few carry every surprise and leave.
