HR reporting and analytics for Retail Chains: a store-wise view for head office
Head office knows sales by store to the day, yet people figures arrive late and in different forms. A simple monthly view of headcount, absence and exits shows which stores need help.

When HR data is collected by phone and email from every store manager, it arrives in different formats and at different times. By the time the figures are put together they are weeks old and one store's numbers are missing. The chain then discovers a problem store after good staff have gone.
A reporting routine sets a short list of measures, a common sheet and a date. Typical measures are headcount against plan, vacancy days, absence, exits within ninety days, exits overall and training done. Read them next to sales, so a store with falling sales and rising exits is noticed.
How to set it up
1. Choose six measures
Headcount against plan, vacancy days, absence, early exits, total exits and induction done. Resist adding more until these are reliable.
2. Design one sheet
A single format for all stores with a fixed date each month. Include a line for the store manager's comment.
3. Check accuracy
Match the sheet against rosters and the pay list for two stores each month, and correct differences.
4. Compare stores fairly
Group stores by size and format, and look at trends over three months rather than a single month.
5. Review with area managers
Hold a monthly session to pick the two stores that need support, agree actions with the area manager and store manager, and revisit the same stores next month to see what changed.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Find out how long after month end head office has complete people data.
- Compare the headcount on your sheet with the roster in two stores.
- Look for a store with falling sales and rising exits in the last quarter.
- Ask area managers which measure they would trust most.

Questions owners ask
Headcount against plan by store, together with vacancy days. It is easy to collect from rosters and shows quickly where stores are understaffed and for how long.
Not at the start. A clean monthly sheet reviewed with area managers is enough. Build dashboards when the sheet is reliable and used.
Compare exits with store size, location and manager tenure. Use the data to ask questions and offer help, not to assign blame.
