HR documentation process for Pharmacy colleges: Contract Faculty Files and Teacher Records
A pharmacy college holds files for permanent teachers, visiting faculty and lab staff. When papers sit in several cupboards, a missing certificate is found at the worst moment. A fixed file order fixes this.

Pharmacy colleges accumulate teachers on different terms: permanent staff, contract faculty on a yearly letter, industry guests who come two hours a week and hospital-based teachers who split their day. Each arrives with a different set of papers, and a single office clerk usually keeps them in whichever form the person handed over. At the time of a university visit or a review by a regulator, someone then searches for qualification copies and experience letters for several hours.
A good documentation process fixes the list of papers for each kind of staff, the order in which they are kept and who checks them. It records hours and subjects taught for contract and guest teachers. It sets dates for renewal so that a letter does not quietly lapse in the middle of a term. It also records when a document was last checked, so the head of the institution knows the files are current without opening every folder.
How to set it up
1. List the papers for each staff type
Separate lists for permanent faculty, contract faculty, industry guests, lab staff and office staff. Include the appointment letter, qualification copies, experience letters and identity papers.
2. Fix one order for every file
Same sections, same sequence, same labels. A new clerk should find the third item in any teacher's file without asking.
3. Record hours and subjects for part-time teachers
A simple sheet of subject, course, hours per week and payment basis, signed by the head of department each term.
4. Set renewal dates and reminders
Note when each contract letter ends and who reviews it, at least a month before. Link it with employee information so the dates live in one place.
5. Check a few files every quarter
The principal or registrar opens three files at random and ticks the list. Gaps are closed within the month. Tell the staff member what was missing.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick three contract teachers and tick every paper that should be in the file.
- Find the longest-serving guest lecturer and see whether the hours are on record.
- Ask the office who keeps originals and who keeps copies.
- List contract letters ending this term and who has been told.

Questions owners ask
Keep them for as long as the law and your university require, and for a period after the person leaves. Confirm the period with a qualified professional, then note it in the file index so nobody guesses.
One named person in the office holds them, with the principal as the reviewer. Copies in departments cause confusion. Give heads of department a summary sheet, not the file.
Record what is missing, ask for it politely with a date, and note the reply. Do not leave a blank. A file that shows effort looks better than a file that says nothing.
