Attendance, shift and leave process for Engineering Colleges: timetables, lab hours and leave cover
An engineering college fixes teaching to a timetable. When a teacher takes leave, the class, lab batch or invigilation duty must be covered. A clear process for hours, substitution and leave keeps teaching on track.

Teacher leave in a college affects a particular class at a particular hour. Lab batches cannot be merged, and examination duty is fixed. Without a rule, the head of department asks whoever is nearby, and the same few helpful teachers end up covering again and again. Others see this as unfair, and the helpers tire of it.
A process that works records hours worked and leave in one place and sets a method for substitution. It counts cover work, balances it across the department and handles planned leave early. It also gives a clear way to treat contract and visiting teachers who are paid by the session.
How to set it up
1. Count the working week for each cadre
Teaching, lab, project, invigilation and administrative hours, defined in one way. Publish it so all teachers see the same figures.
2. Record attendance and leave simply
One register or sheet for the department, with leave type, dates and the substitute named. See attendance, shift and leave process.
3. Set a substitution rule
Who covers first, how cover is balanced, how it is recorded and how teachers are thanked or compensated where the college allows.
4. Plan known absences ahead
Examination duty, conferences and planned leave are entered at the start of the term so that the timetable can absorb them.
5. Treat session-paid teachers separately
Record their sessions held and missed, with make-up classes agreed, so that payment and teaching both match.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- List last month's substitutions and who did them.
- Check whether lab batches were missed when a teacher was absent.
- Ask the timetable coordinator how leave is entered today.
- Compare the working hours of two departments.

Questions owners ask
Keep a running count of cover given by each teacher and offer the next case to the person with the lowest count. Publish the count termly so everyone sees the balance.
Name a trained backup for each lab in advance and keep a short briefing sheet for the session. If no backup exists, reschedule with a fixed rule, and tell students early.
They need their own simple rule. State what happens if a session is missed, how make-up sessions are arranged and how the payment is treated, and put it in the appointment record.
