HR documentation process for UPSC coaching: Files for Part-Time, Guest and Evaluator Staff
A UPSC centre may have more part-time and guest staff than permanent ones, each on different terms. Keeping their letters, hours and payment basis in one order saves arguments and last-minute searches.

Coaching centres collect people on all sorts of arrangements. A teacher on a monthly fee, an evaluator paid per copy, a former officer who speaks twice a term and a mentor on a retainer all start with a phone call and a message. Terms are in someone's memory, and when a question arises about hours, rate or notice, the office searches chat threads. Disagreements about payment are common and hard to settle without anything written.
A documentation process fixes what is kept for each kind of person. For all it includes a short letter stating the role, the rate basis, the cancellation terms and who to call. For evaluators it keeps a record of copies assigned and returned. For guests it keeps the date, topic and fee. The office checks files each term and the head of centre samples a few. The system is light, but it makes the next question easy to answer.
How to set it up
1. List the arrangement types
Monthly part-timers, hourly teachers, per-copy evaluators, retainer mentors and one-off guests. For each type, decide what must be on paper.
2. Use a short letter for each
One page: role, subject or task, rate basis, cancellation, notice and contact. Plain wording, signed by both sides.
3. Record hours and copies
A simple sheet of lectures taken, copies returned or sessions given, signed by the coordinator each month.
4. Keep papers in a fixed order
Letter, identity and qualification copies, hours sheets and notes on feedback. See employee information for the layout.
5. Review a few files each term
The head of centre opens three files and checks them against the list. Gaps are closed in the month and the person is told.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Choose a guest expert from last term and find the letter and fee record.
- Ask evaluators how they confirm the number of copies they returned.
- Find the oldest part-time teacher and check whether terms are written.
- Ask the office where all these papers live today.

Questions owners ask
Yes, a short one. It states date, topic, time and fee, and avoids confusion later. It also shows that the centre treats visitors with respect, which helps when you invite them again.
Keep them for as long as the rules require and for some time after the person leaves. Confirm the period with a qualified professional, then note it in the file index.
Look at the signed monthly sheet and the coordinator's record, discuss calmly and agree a correction in writing. Having the record turns an argument into a check.
