Employee information management for Multispeciality Clinics: one set of staff records across branches
When a clinic has many staff, several branches and visiting doctors, staff information scatters. One agreed layout for records makes transfers, renewals and questions much easier to answer.

Share your requirementsWhy employee information management matters in multispeciality clinics
In a multispeciality clinic, information on people sits in several places. Branch managers hold their own staff files, the owner holds consultant agreements and billing holds payment notes. When a nurse is sent to another branch or a consultant's terms change, nobody can say quickly what was agreed or where the papers are.
A simple process fixes the layout. It lists what is held for staff and for visiting doctors, who keeps it, who may see it and when it is reviewed. The aim is to answer plain questions in minutes: who works where, whose registration is due, which consultant has what terms.
How to set it up
1. List what you hold for each group
Staff, visiting consultants and branch managers need different records. Write a checklist per group.
2. Fix a single layout
The same folder names and order in every branch. A person from head office should find any paper in the same place.
3. Record moves between branches
A short form for each transfer, with dates, reason and the manager's sign-off. Keep it in the person's file.
4. Keep consultant agreements separate and current
Each visiting doctor has an agreement, a sitting schedule and a record of changes. Review them every six months.
5. Review for gaps and renewals each quarter
A named person goes through the files, lists what is missing or due and reports to the owner. See employee information management.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick one nurse and one consultant and time how long it takes to find their full file.
- Compare the layout in two branches.
- See whether a branch transfer from last quarter is recorded anywhere.
- Check that registration renewal dates are on one list.

Questions owners ask
Only those who need them for their work, such as the owner, the clinic administrator and the branch manager for their own staff. Write the list down and keep files locked or protected.
Yes. Keep their agreement, qualifications, registration details and sitting schedule. It makes payment checks and any later question much easier to answer.
Not before the layout and the checklist work on paper or in simple files. Tools only help once you know what you hold and who keeps it.
