Attendance, shift and leave process for Multispeciality Clinics: branches, consultant days and one roster
Staff in a multispeciality clinic move between rooms and sometimes branches, while heavy days follow the consultant timetable. Attendance and leave need to follow the same pattern.

Branch managers often keep their own paper registers. When a nurse covers at the second branch, she may be in one register or in none. Leave is granted on the day without checking which specialists sit, so a busy Wednesday with five doctors runs on a skeleton desk.
A good process uses a single attendance record that names the branch each day, a roster built from the consultant timetable and a simple leave calendar that marks heavy days. The branch manager confirms entries weekly and a central person checks the totals.
How to set it up
1. Create one attendance record
Each person, each day, with branch and shift. Whether paper or electronic, it must be the same format everywhere.
2. Build the roster from the consultant timetable
List which doctors sit on which days, count the rooms and the desk needs, and place staff accordingly. Mark the heavy days.
3. Handle branch moves in the roster
A staff member sent to another branch is placed on that branch's roster for the day and marked there. No double counting or gaps.
4. Mark heavy days on the leave calendar
Staff give early notice for leave on heavy days. Agree swaps in writing. See attendance, shift and leave.
5. Confirm weekly, review monthly
The branch manager signs the weekly record. Once a month, the clinic administrator checks patterns of lateness, absence and overtime.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Compare registers from two branches for the same week.
- Count staff on the desk on your busiest consultant day and your quietest.
- Check how many leave approvals last quarter were on heavy days.
- See whether overtime is recorded and who approved it.

Questions owners ask
Mark the branch against each day in the same record and have both managers confirm it. This shows exactly where the person worked and avoids disputes when pay notes are prepared.
You can ask for early notice and limit overlapping leave on heavy days if the policy is written and applied equally. Explain the reasons to staff and check the rules with a qualified professional.
Have a plan to inform patients, rebook and redeploy desk and nursing staff to other tasks. Note the cancellation and discuss repeated ones with the consultant.
