Attendance, shift and leave process for General physician clinics: split sessions and thin cover
With two sessions a day and a team of five or six, one absence changes the clinic. A plain roster and a cover rule keep the queue moving and keep the staff from being called in every week.

In a general physician clinic, the working day is split. Staff may arrive at nine, leave at two, return at five and finish at nine. Some live far away and do not go home in the gap. Others start early to open and clean. Without a written pattern, hours drift, overtime is argued about and the person who lives nearest becomes the default cover.
A good process sets the session pattern, the gap and who is needed in each. It records attendance simply, by sign-in or a basic biometric, and checks it against what is paid. It plans leave around the doctor's own absences and the seasonal peaks of fever and cough, so the clinic is not short-handed at its busiest.
How to set it up
1. Write the session pattern
Start and end times for each session, the break between and who is needed in each. Include the opening and closing duties.
2. Record attendance one way
Pick a method the whole team uses, a register or a device, and have the clinic head check it weekly. At branches, ask for a daily photo of the sheet or a device log.
3. Plan cover for the desk and room
List who covers the receptionist, nurse and dispenser. See role design for one-page duties.
4. Share leave dates early
Ask for requests at a set time each month and check them against doctor leave and expected peaks. Stagger leave so only one person is away at a time.
5. Look at the month
Count late arrivals, uncovered sessions and call-ins. Adjust the pattern where the same problem repeats.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask staff what their actual hours were last week.
- Check whether attendance at your branches is recorded the same way.
- List the days last month when the desk had only one person.
- See how you decide who comes in when someone is absent.

Questions owners ask
That depends on your arrangement and the rules that apply. Decide on a clear policy, check it with a qualified professional and write it down so there is no confusion.
Give a fixed pattern, a resting space, and one alternate day with a straight shift where possible. Offer a travel or meal arrangement if people cannot go home.
A simple, consistent method such as a device or a daily sheet sent to the owner. The key is checking it regularly and acting on gaps, not collecting more data.
