Attendance, shift and leave process for Finance Outsourcing Companies: night rosters and month-end leave
Teams work to a client's clock. A clear roster and leave rule keeps night shifts staffed without burning out the same few people.

Share your requirementsWhy attendance, shift and leave process matters in finance outsourcing companies
Most finance centres begin with a simple roster and add exceptions as complaints come in. A person swaps with a friend by message, a team leader approves it verbally, and nobody records it. At month-end, leave requests pile up and decisions look unfair.
The roster should state how often each person works nights, the gap between a late finish and the next start, and who can approve a swap. Attendance then shows what was worked, which feeds overtime and rest. Leave rules should name the close week and say how early requests must be made.
How to set it up
1. Set the rotation rule
Write how many consecutive nights a person may work, how many nights a month and the minimum rest between shifts.
2. Publish the roster early
Share it at least a week ahead by process and team, with the night list visible to everyone.
3. Record swaps
A swap needs the team leader's approval and a note on the roster, so attendance matches the work actually done.
4. Plan leave around close week
Say which days are blocked and how requests are ranked. Offer leave before and after the peak so people do not feel shut out. See also HR policies and governance.
5. Review attendance weekly
Look for patterns such as Monday absence after a night block, or one team with heavy sick leave, and adjust the roster.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Check the last month's roster for anyone who worked more consecutive nights than your rule allows.
- Count how many swaps were made without a record.
- Ask how many leave requests during close week were refused and why.
- Look at sick leave by team after night blocks.

Questions owners ask
There is no single answer, but a fair, published rotation is better than one that quietly lands on the same few. Agree a pattern with team leaders and review it each quarter.
Keep a named back-up for each process, cross-trained for the main tasks. Share the list with team leaders so cover is arranged within the hour.
Yes, with limits. Allow them between people trained on the same process, with approval and a record. Unrecorded swaps cause disputes over overtime and rest.
