HR reporting and analytics for Commercial Vehicle Dealers: numbers by branch and workshop
An owner with branches along a highway cannot walk the floor every week. A short monthly view of people numbers shows where to look before problems reach the sales figures.

Share your requirementsWhy HR reporting and analytics matters in commercial vehicle dealers
Commercial vehicle dealers watch sales, service revenue and parts stock closely. People numbers are scattered: absence in one register, overtime in another, exits in the owner's memory. When a branch has a run of resignations, nobody notices until the workshop falls behind on promised delivery dates.
A simple HR report puts a few measures side by side for each branch and the workshop: headcount, vacancies and how long they have been open, exits and the reason, absence and overtime. It does not need software. It needs a fixed monthly date, one person responsible and a short conversation about what the numbers suggest. Over a year, it becomes easier to see patterns, such as when exits rise or which branch always runs on overtime.
How to set it up
1. Choose six measures
Headcount, open vacancies and days open, exits, short-notice absence, overtime hours and training completed. Add others only if you will act on them.
2. Name the data source for each
Decide where each number comes from, who sends it and by which date. A branch head sends a single sheet. Avoid asking for the same number in three places.
3. Put the numbers on one page
Show branches and the workshop in rows and measures in columns, with last month alongside. Use plain words and no clutter.
4. Hold a thirty minute review
The owner and the HR lead look at the page together, ask why a number moved and choose one or two actions. Write the actions down for the next meeting.
5. Keep a running year view
Store each month's page and look back every quarter to see patterns. Link to employee information management so the base data is kept clean.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask where you would find last month's exits by branch and how long it would take.
- Look at overtime by branch and see which one stands out.
- Check how long the longest open vacancy has been open.
- Ask branch heads which number they think is least accurate.

Questions owners ask
No. A spreadsheet maintained by one responsible person is enough to start. Consider tools later, once you know which numbers you use and what you ask of them.
Keep the request short, use the same format every month and show them the page that results. People supply better data when they see it used, and when nobody is blamed for an honest number.
It depends on your pain. For many dealers, vacancies in the workshop and exits among senior fitters are the numbers that affect customers soonest. Start with those, then add as needed.
