HR reporting and analytics for Agri-input distributors: one page for season headcount, visits and dues
A distributor runs on seasons and credit. A one page monthly view of headcount, visits, dues and exits tells you early when the next season is at risk.

Owners usually watch sales and stock but see people only when something breaks. A territory officer is behind on collections for two months before anyone notices. Loaders leave the week before the loading rush. A branch has three resignations in a quarter. Each of these shows in simple numbers if someone collects them.
A useful report is short. Headcount by branch and role against the season plan. Territory visits made and orders taken. Overdue dues by officer. Stock differences by godown. Leavers by role, tenure and reason. Review it monthly with branch managers and before each season with the owner. Avoid anything you will not act on.
How to set it up
1. Choose six to eight measures
Pick headcount against plan, visits, orders, overdue dues, stock differences, leavers and open vacancies.
2. Decide the source for each
Name who supplies each number and from which record, and the date it is due every month.
3. Build a one page view
Show the last six months for each measure in a simple table, with a note on what changed.
4. Review monthly
Sit with branch managers, ask what the numbers say and agree one action each. The HR process consulting work supports setting up the routine.
5. Review before each season
Look at the last year's pattern, compare with the plan and decide hiring, leave and training before the rush.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Check if you can say today how many people left in the last six months and from which role.
- Ask which officer has the oldest overdue dues and for how long.
- See if stock differences are recorded by godown and person.
- Look at last season's hiring dates against the first rush orders.

Questions owners ask
Start by copying six numbers a month into a simple sheet. The habit of looking is more useful than a perfect system. Improve the records as you learn which numbers you really use.
The owner and branch managers, and officers for their own numbers. Share results to help people act, not to embarrass them in front of colleagues.
More than eight or ten on one page is usually too many. If a number does not lead to a decision, drop it and keep the page short enough to read in five minutes.
