On the first Monday of an odd semester, a new assistant professor reaches the campus at 8.45 a.m. The biometric terminal has no record for her. The HoD is in a curriculum meeting. The timetable on the staff-room board shows her in two classrooms at once. Her first experience of the college is confusion, and it will be remembered long after the induction speech is forgotten.
The sheet below suits engineering colleges, nursing, pharmacy and arts and science institutions alike, with small edits. The larger picture is on the college and university types hub.
Before the joiner arrives
- Appointment letter issued, with designation, scale or consolidated pay, probation and reporting HoD.
- Biometric enrolment and staff ID card ready, plus email and LMS login.
- Draft timetable with theory periods, practical batches and tutorial hours, cleared with the timetable in-charge.
- Locker, desk or cubicle in the staff room, and a lab key arrangement if a lab is assigned.
The office superintendent usually owns this block. Ask for a short confirmation to the HoD the evening before.
The copyable sheet
Name, department, designation, date of joining, reporting HoD, mentor:
Day 1: joining report signed. Original certificates seen and copies filed (degree, marksheets, experience, caste or category proof where relevant). Relieving order from previous institution received or promised by date:
Day 1: service book opened. Bank details and nomination forms collected. Biometric and ID done:
Day 1: campus walk with the mentor: department, library, labs, exam cell, accounts office, canteen, first-aid room:
Day 2: timetable explained. Workload stated in hours per week, split into lecture, lab, tutorial and invigilation duty:
Day 2: student attendance register and LMS shown, with the cut-off date for entering internal marks:
Day 3: lab or workshop induction by the in-charge, including safety rules and consumable indents:
Day 3: exam cell briefing on question-paper setting, valuation, moderation and confidentiality:
Day 4: committee allocations explained (anti-ragging, student grievance, placement, NSS or NCC where applicable). Sit in on one department meeting:
Day 5: mentor meeting held. Two goals for the first month written down. Open questions logged for the HoD:
Signed by mentor, HoD and joiner with dates:Who fills which lines
The office superintendent handles documents, service book and ID. The HoD or timetable in-charge handles workload. The mentor handles the walk, the LMS and the Friday meeting. The joiner ticks every line, since a signed sheet clears later arguments about what was explained.
The three introductions that matter most
- 1
HoD
Walk through the syllabus map, course outcomes, internal assessment pattern and expected pass percentages. Cover leave rules and the department's approach to makeup classes.
- 2
Exam cell
Show the calendar for internal tests, semester papers, practical exams and revaluation. A missed moderation deadline is the most common first-month error.
- 3
Lab in-charge
Explain logbooks, breakages register, stock verification, student batch sizes and safety. For nursing and pharmacy, add clinical or dispensing practice rules.
Part-time, visiting and non-teaching staff
Visiting faculty need a trimmed sheet: timetable, rubric, attendance entry, exam cell contacts and payment cycle. Lab assistants and librarians need the lab or stack induction, safety and a stock register walk. Administrative staff need the file-movement register and the escalation path to the registrar or principal. Each group gets a one-page version. See the onboarding process for arts and science colleges for a longer arc, and documentation for engineering colleges for record-keeping.
Papers that go missing
Four documents are lost more than the rest. The relieving order, the experience certificate with salary and designation, the research publication list for those on a guide track, and the medical fitness note for lab and clinical roles. Chase each by the end of week two, not after the first salary run.
A joiner moving from industry to a polytechnic or engineering college brings another gap: no teaching file. Ask the HoD to hand over a lecture plan template, a lab manual, a model question paper and the previous year's result analysis. These four items let a new teacher walk into a class prepared.
Signs a joiner is settling
- Attendance and internal marks entered on time without reminders.
- Lab logbook signed up to date.
- Students approach the teacher after class, not only the HoD.
- The joiner knows which committee she sits on and when it meets.
Nursing and pharmacy colleges add one more item: the clinical affiliation or dispensing practice schedule, with hospital posting dates and the preceptor for each batch. Put it on the sheet so a new tutor does not discover a posting clash in the third week.
Review after thirty days
Collect the signed sheets and note which lines stayed blank. Common blanks: LMS login not working, workload given only verbally, committee duty not explained. Fix the first of these before the next batch of joiners arrives.
