Payroll Executive job description

A Payroll Executive prepares and checks the monthly salary run so employees are paid correctly and on time. The role keeps pay records accurate and gives finance a clear view of people costs.

An HR consultant and business owner reviewing employee records together

Why the role exists

The Payroll Executive sits between HR, finance and the employee. They collect attendance and change data, run the salary calculation in the payroll tool, check the output and release payslips. A careful payroll executive prevents pay errors that damage trust and take time to fix.

What the person does

  • Collect attendance, leave, overtime and joiner and leaver data from HR and managers before each payroll cut-off.
  • Update salary structures, increments, deductions and reimbursements in the payroll system.
  • Run the monthly payroll and check each result against the previous month for unusual changes.
  • Prepare the salary bank file and coordinate payment release with finance after approval.
  • Generate and share payslips and answer employee questions on pay components.
  • Prepare payroll summaries and cost reports for finance and the management team.
  • Hand over clean data to the person or adviser who handles statutory filings, and track the due dates.
  • Maintain payroll records, supporting approvals and change logs in an organised audit trail.

Skills and tools

  • Payroll software such as greytHR, Keka, Zoho Payroll or a well-controlled Excel model
  • Salary structure design basics: basic pay, allowances, variable pay and deductions
  • Strong Excel skills including lookups, reconciliations and checks
  • Understanding of how attendance, leave and loss of pay feed into salary
  • Careful checking and attention to detail on every figure before release
  • Preparing bank upload files and reconciling payments with finance
  • Confidentiality with pay data and access controls
  • Explaining pay components to employees in simple terms

Education and experience

Preferred, never a bar: equivalent experience counts.

  • Commerce graduate or MBA in HR or finance preferred, or equivalent hands-on payroll experience.
  • Preferred two to four years running payroll for a team of a similar size and pay structure.
  • Experience with a payroll tool and monthly reconciliation is preferred.
  • Statutory payroll practices depend on the employer, state and facts, so confirm requirements with your own adviser.

How the work is judged

  • Accuracy of each payroll run, shown by the number of corrections needed after release.
  • Payslips and payments completed by the planned date each month.
  • Quality of reconciliation between payroll, attendance and finance records.
  • Handling of employee pay queries quickly and clearly.
  • Completeness of records and approvals if payroll is reviewed or audited.

Where the role can lead

  • Senior Payroll Executive or Payroll Specialist managing larger or multi-location payroll.
  • Payroll Manager or Compensation and Benefits Analyst.
  • Move into HR operations, finance operations or HRIS and systems roles.

Interview questions to ask

Ask every candidate the same questions in the same order and score them against written anchors, so the decision rests on the work and not the impression.

  1. Describe how you check a payroll run before releasing it. What do you look for first?
  2. An employee says the net pay is lower than last month. How do you investigate?
  3. How do you handle a joiner or leaver who comes in after the cut-off?
  4. Walk us through a payroll error you found late and what you changed afterwards.
  5. How do you keep salary data confidential while working with HR, finance and managers?
  6. What controls do you use when you build or change a salary structure in the system?

Hiring tips for this role

  • Give a small case with attendance, a joiner, a leaver and an increment, then ask for the net pay logic. Accuracy under time is the real test.
  • Ask what controls they used in the past, such as maker-checker, variance checks and approvals. Weak answers suggest risk.
  • Check discretion and integrity. Payroll staff see everyone's pay, so reference checks with previous employers carry extra weight.
  • Clarify scope up front. Some firms outsource filings and want only internal preparation, others expect the executive to run most steps.
