HR reporting and analytics for Food distributors: absence, returns and exits by shift and route
A distributor already counts cartons and kilometres. A few people counts, by shift and route, show where absence, errors and exits cluster, and what to do first.

Share your requirementsWhy HR reporting and analytics matters in food distributors
Most food distributors have good numbers on stock and sales and almost none on people. The owner senses that nights are harder or that one route has more trouble, but cannot say by how much. Without numbers, every problem is argued from memory and fixed too late.
A short monthly sheet is enough. Count absence by shift, returns and spoilt lots by picker group, late vans by route and exits by supervisor. Place them next to each other. Patterns appear quickly, such as a run of absences after a particular night run or returns concentrated in one team. The aim is to ask better questions, not to rank people. Keep the sheet to one page and review it with supervisors.
How to set it up
1. Choose five counts
Absence by shift, returns and spoilt lots by team, late vans by route, exits by supervisor and overtime by team. Start there.
2. Collect from existing records
Use the roster, the return notes and dispatch times. Do not create new forms if the data already exists.
3. Build a monthly one-page sheet
Place counts side by side with last month. Mark anything that moved a lot and write one line on the likely reason.
4. Review with supervisors
Discuss the sheet in a short meeting. Ask each supervisor what they will try next month. The HR process consulting service can help set this routine.
5. Act on one item at a time
Pick the biggest pattern, make a change and check the next month's numbers. Avoid fixing everything together.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count absence in the last month for night and day shifts separately.
- List returns last month and mark which came from picking.
- Find the route with most late vans and ask its driver why.
- Check which supervisor has lost most people in six months.

Questions owners ask
No. A sheet kept by hand or a simple spreadsheet is enough. The first value is in the questions the numbers raise, not the tool. Move to something more automatic later if the volume demands it.
Some will, if the sheet feels like a ranking. Present it as a way to see problems early and agree support. Share the sheet with them first and use it to help, not to blame.
Monthly is enough for most patterns. Check absence and late vans weekly during peak weeks. Keep the same counts each month so trends show clearly.
