Attendance, shift and leave process for Waste Collection Firms: a depot roll call that holds up with the client
A route that starts at six depends on who is at the gate at a quarter to. Attendance here protects both the wage and the contract invoice.

Share your requirementsWhy attendance, shift and leave process matters in waste collection firms
In many waste collection firms the supervisor knows who came, and the register is filled later. A crew leaves one loader short, the route takes longer, and by month end nobody can say who worked which lane. The client's own count of routes does not match yours, and the argument costs money and goodwill.
A gate record by person, vehicle and route, a named list of reserves and a leave plan agreed before festivals turn the daily scramble into a routine. Crews also see that presence is noted fairly, which matters when pay is modest and trust is thin.
How to set it up
1. Set the roll call at the depot
Take attendance at a fixed time by person, vehicle and route, on a register or phone entry that the depot supervisor signs. Send it to head office daily.
2. Name reserves for each depot
Pick trained crew members who know several routes and are told in advance they may be called. Pay them fairly for being available.
3. Plan weekly offs and leave
Share a calendar by crew so weekly offs and leave are fixed ahead. Block festival and monsoon weeks for special rules agreed with staff.
4. Match with the client weekly
Set your attendance and route sheet beside the client's record, note differences and settle them within the week, before wages are prepared under the payroll process.
5. Look at lateness and absence patterns
Each month list who is late or absent often and talk to them. Check first for causes such as transport, health or unpaid wages.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count mornings last month when a vehicle left with fewer crew than planned.
- Check whether leave requests are decided before the date or on the morning.
- Compare one week of depot attendance with route completion records.
- List who covers when a driver is absent and whether they know the route.

Questions owners ask
The depot supervisor approves within the leave calendar set by the area manager, so a reserve is arranged first. Emergency leave is allowed but recorded with a reason.
Not necessarily. A phone entry or a supervised register can work if it is taken at a fixed time and signed. Choose what the depot can run reliably every morning.
Speak to them privately and find the cause first. If the pattern continues, follow a written process with warnings. Fix what is fixable, such as vehicle keys or early transport.
