Role design and job descriptions for Vehicle Inspection Centres: who checks what
In a test lane, confusion over who decides a result causes disputes. Written roles show what an inspector, helper and desk clerk may each do, and where an owner's argument must stop.

Share your requirementsWhy role design and job descriptions matters in vehicle inspection centres
Many centres have a title of inspector but no written line between what an inspector decides and what a helper only moves. A helper takes a vehicle onto the roller tester, an inspector reads the result, and the front desk prints a report. If any step blurs, a vehicle is passed by the wrong person and nobody can say who.
A good role sheet is one page long. It names the checks the person is signed for, who they report to, what they must never do, such as discuss a result before the report is entered, and who they call when pressed. It also helps hiring, since you can test for the actual job.
How to set it up
1. List the lane steps in order
Walk one vehicle from arrival to report and write each step in plain words, from document check to final print.
2. Assign each step to a role
Mark which steps an inspector alone decides, which a helper may carry out and which the desk handles. Avoid shared steps.
3. Write the never-do list
Add three to five lines per role, such as entering a result for a check not done or accepting money at the lane.
4. Link each role to a skill sign-off
Each role needs the checks a person is signed for before holding it. This feeds competency and talent management.
5. Share the sheets with staff and owners
Read them out in a team meeting and display a short version at the desk so customers know who decides what.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask three people who decides a borderline brake result and see whether answers match.
- Check whether any helper has entered or changed a report in the last month.
- Look at whether the front desk can see who performed each check on a report.
- Read your current job titles and note how many say only the word technician.

Questions owners ask
Yes, perhaps more than large ones. When four people share a lane, the lines blur fastest. A single page for each role takes an afternoon and stops many arguments.
Yes, through signed checks and a trial period under a senior inspector. Confirm any qualification the role needs with a qualified professional before the move.
Once a year, and whenever a new test method or machine arrives. Change the sheet first, then tell the people it affects.
