HR documentation process for CNC Bending and Press Brake Shops: records that shorten bend setup
HR documents in a bending shop are not just contracts. They include role pages, training sign-offs and a record of who may run which brake.

Many shops keep people records in several places: appointment letters in a drawer, skill knowledge in someone's head and attendance in a diary. When a bender leaves, nobody knows which parts they could set up or which brake they trusted. New hires get a verbal brief and a handshake. Disputes about terms, hours or past warnings turn into arguments about who remembers what.
A good documentation process keeps a short, consistent file for every employee: terms, role page, training sign-offs, safety briefing and any warnings or recognitions. It also keeps a skills record that shows who can run which brake and tooling. Files sit in one place with a named owner, are updated at set events such as joining, promotion and appraisal, and are easy to find.
How to set it up
1. List what must exist per person
Decide the standard contents: appointment terms, role page, identity and address, safety briefing record, training sign-offs and review notes.
2. Collect what you have
Gather papers from drawers, cupboards and phones, and mark the gaps against that list. Start with current employees, newest first.
3. Add a skills record
Beside each bender, record the brakes, tooling and part families they can set alone. Update it after sign-offs. See HR documentation for a template.
4. Name an owner and a place
One person keeps files, in one folder, with a rule on who may view them. Agree how records are kept safe.
5. Update at fixed events
Update each file on joining, change of role, appraisal and exit. Review every file once a year so gaps do not build up again.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Pick five employees at random and see how many have a signed appointment document.
- Ask which benders can run the newest brake and check whether it is written anywhere.
- Count verbal warnings from the last year that were never recorded.
- Check where leave and attendance records are kept and who can edit them.

Questions owners ask
At minimum, terms of employment, role page, identity and contact details, safety briefing and training records. Check any legal requirements with a qualified adviser.
Either can work. Choose the one you will actually keep up to date, protect it from loss or damage and limit who can read it.
This depends on your obligations, which we do not advise on. Decide with your adviser and write the rule down, so it is applied the same way.
