Attendance, shift and leave process for State board schools: keeping classes covered in large schools
In a state board school one absent teacher often means a class of sixty with no one in the room. Plain leave rules and a cover list keep classes taught and spread the burden fairly.

Share your requirementsWhy attendance, shift and leave process matters in state board schools
Attendance in a state board school is usually taken in a register at the gate or in the head's office. Leave is asked for verbally or on paper, and approval depends on who is in the room. When someone is absent, the head picks a teacher who looks free, and the class may be left with a peon or a senior student in the room.
A better arrangement records attendance and leave in one register, states how much notice is expected, and keeps a cover list of trained guest teachers by subject. It marks exam days, survey duty and festivals, so leave is planned instead of surprising the school. Teachers see that rules are applied evenly, and cover is shared.
How to set it up
1. Keep one attendance and leave register
Use the same format for every teacher and office staff member. Record present, absent, leave type and cover arrangement each day. The head or clerk reviews it weekly.
2. Write the leave rules in simple words
State types of leave, notice expected, approval and what happens in exam months. Read it out at the start-of-year meeting, and keep a copy in the staffroom.
3. Build a cover list
Names of guest teachers by subject and level, with contact numbers. Talk to each one in advance about school hours and class behaviour. See attendance, shift and leave.
4. Plan around the school calendar
Mark exam days, survey duty and local festivals on a wall chart. Ask teachers to plan long leave outside these dates.
5. Look at the pattern each term
Count absence by teacher, subject and week. If one subject keeps losing cover, look at the cause: workload, health or a problem with a particular class.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Check how many classes had no teacher in the room last month.
- Ask whether your teachers know the notice they must give for leave.
- Look for a written list of guest teachers by subject.
- Count the days when two or more teachers were absent together.

Questions owners ask
Keep a priority order: protect exam and board classes first, then core subjects. Combine sections only when needed, and keep a short list of guest teachers ready for such days.
Yes, in the same register and on the same terms. It treats everyone alike and shows who is available when the head needs help with fees, records or events.
Set it by type of leave and explain why. A week for planned personal leave and the earliest possible call for illness is a common pattern, but fix a rule that suits your school.
