HR documentation process for Vertical SaaS: role pages and handoffs written once
In a fast-moving vertical SaaS firm, roles shift as customers and features grow. A set of short, current role and process pages removes confusion between consultants, implementers and support.

Documents are often made when someone asks for them, then left. A role description written two years ago lists tasks nobody does. A handoff between implementation and support is described in an email thread. Joining papers are kept in different folders. When a customer asks who handles data migration, three people give three answers.
A light documentation process names what needs to be written: role pages, key handoffs and employee records. Each has an owner, a standard shape and a review date. Pages are short, kept in one shared place and updated when a change is made. Where employment papers touch legal duties, a qualified professional confirms the wording.
How to set it up
1. List what needs a page
Roles, handoffs between teams, joining papers and key policies. Mark which are missing, old or in dispute.
2. Fix a standard shape
Set a one-page format for each type, with sections for purpose, main tasks, who it works with and how success is seen.
3. Assign an owner and a date
Each page has one owner and a review date, usually six or twelve months. The owner updates it after any real change.
4. Keep everything in one place
Use a shared folder with clear names and access. Remove old copies. See HR documentation process for layouts.
5. Check against practice
Twice a year, ask staff whether the pages match what they do. Update pages or change practice, then log what changed.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask three people who handles data migration and compare answers.
- List role pages that are over a year old.
- Check whether joining papers for the last five joiners are in one place.
- See if a handoff between implementation and support is written anywhere.

Questions owners ask
Fewer than you think. Start with role pages and the three or four handoffs that cause most trouble. Add more only when someone asks a question twice.
The person who does the work drafts, their manager reviews and HR keeps the format. Drafts written by outsiders miss detail and are not trusted.
Name an owner and a review date for each, and link updates to real changes such as a new feature or a role move. A short monthly check of one folder is better than a yearly clean-up.
