HR reporting and analytics for B2B SaaS: seeing retention and hiring by team
A SaaS founder reads revenue every week, but headcount and attrition often come from memory. A short monthly people report shows where hiring is slow and where teams are losing good people.

Most small SaaS firms track people in spreadsheets kept by different hands. Hiring stands in one sheet, leavers in another and equity in a third. When the board asks about attrition, someone spends a day building a number, and the number changes when asked again. Real patterns, such as customer success leaving after eighteen months, go unseen.
A monthly report on one page changes this. Headcount by team, open roles and days to hire, exits by team and tenure, and time in role before promotion. Each figure has a named owner and a plain note on what changed. The point is to start conversations about causes, not to produce charts.
How to set it up
1. Choose six measures
Pick headcount, open roles, days to fill, exits, tenure at exit and promotion timing. Add others only when a decision needs them.
2. Fix definitions
Write what counts as an exit, a promotion or an open role. Check the definitions with finance so figures agree across reports.
3. Gather from one source
Keep one master people sheet. Have a named person update it by the fifth of each month, using the same columns every time.
4. Write a one-page summary
Show the figures, what moved and what is being done. Keep to the point. See HR reporting and analytics for layouts.
5. Review monthly with team heads
Spend thirty minutes on the figures, agree actions and check last month's actions. Drop any measure nobody uses.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask finance and HR for headcount and compare the numbers.
- Find which team has the shortest median tenure at exit.
- Check how many days the last five roles stayed open.
- Look at whether last month's actions were reviewed in the next meeting.

Questions owners ask
Headcount by team, exits by tenure and open roles with days to fill. Three figures, kept accurate, are better than twenty that nobody trusts.
Report at team level and use ranges, and keep individual details with HR and the manager. Small teams need extra care, as numbers can reveal one person.
Not at first. A well-kept sheet with clear columns and one owner is enough. Complexity should follow need, not lead it.
