HR reporting and analytics for Overseas recruitment companies: candidates by stage, delays and reasons, desk by desk
A desk head who cannot see where candidates are stuck cannot fix delays. Simple monthly reporting by stage, reason and desk shows which part of the pipeline needs hands, training or a different plan.

Share your requirementsWhy HR reporting and analytics matters in overseas recruitment companies
In an overseas recruitment company, the pipeline has many stages: contact, shortlisting, trade test, employer interview, documents, approvals, travel booking and departure. Each country desk keeps its own sheet and reports the number of candidates sent. When a batch is late, no one can say whether the delay lay with testing, documents or the employer.
A small set of reports gives a shared picture. Candidates at each stage, how long they have been there and the reason for any hold, shown by desk and by employer demand. Add complaint counts and staff workload. Desk heads read it monthly, ask why, and act: more hands for documents, a better test slot or a call with the employer. Over time, patterns appear that cannot be seen in sheets.
How to set it up
1. Fix the stage names
Agree the stages and what counts as moving from one to the next. All desks use the same words.
2. Record the reason for each hold
A short code list such as paper missing, employer delay, candidate unavailable or test failed. One reason per hold.
3. Build three one page views
Candidates by stage and age, delays by reason, and workload per executive. Show each desk and the company total.
4. Review monthly with desk heads
Ask why numbers moved, agree one fix per desk and check results next month. Share lessons across desks.
5. Add people measures slowly
Include complaint counts, staff overtime and exits. Together they show whether delays are a process issue or a staffing one. See HR reporting and analytics for format ideas.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Ask two desks to name the stage where most candidates are stuck.
- Check whether delay reasons are recorded or guessed.
- Compare workload per executive across desks.
- See who reads the report and what was changed because of it.

Questions owners ask
One page per desk is enough: candidates by stage and age, reasons for holds and workload. More detail can wait until people use the first page.
Because delays are often caused by a few people carrying too many files. Workload views show where to add hands or rebalance before good staff burn out.
They can add their own detail, but the main stages should be shared. A common set lets you compare desks and pass lessons between them.
