Why customer-service skills matters in overseas recruitment companies

A worker who has paid fees, left a job and told his village about a posting abroad is anxious. A delayed date feels like a deception. The helpdesk may be a few executives answering many calls, each in a different way. One says the date will hold, another says it may move, and the candidate trusts neither.

Training for helpdesk and field staff can be short and practical. It covers listening, plain language, what can and cannot be promised, how to say a date has moved and when to pass a call upward. Staff practise with real examples. A shared set of answers to common questions means the candidate hears the same story from anyone, and that builds trust.

How to set it up

  1. 1. Collect the twenty common questions

Ask the helpdesk for the questions asked most: dates, fees, papers, tests, travel. Write the answer for each in plain words and agree it with desk heads.

  2. 2. Teach listening and a calm tone

Use short role plays with real cases. Practise saying a date has moved, a paper is missing or a job has been cancelled.

  3. 3. Set limits on promises

List what staff may say and what only a manager may confirm. Teach the sentence for passing a question on without sounding evasive.

  4. 4. Train field staff the same way

Recruiters in far towns need the same answers and limits. Meet weekly by phone and share new questions from the field.

  5. 5. Listen to calls and give feedback

A desk head listens to a few calls each week and gives two strengths and one change. Build this into the customer-service skills training plan.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Ask three staff the same candidate question and compare answers.
  • Check whether anyone has a written list of what they may promise.
  • Listen to one call for tone, clarity and next step.
  • Count repeat calls from the same candidate in a week.

Questions owners ask

Say it early, plainly and with the reason you can share. Give the new expectation as a range if unsure, and promise the next update by a stated time. Silence breeds rumours.
