Attendance, shift and leave process for Apartment facility managers: gates that never close
An apartment gate, lift and pump room run every hour of every day. A rota with named relievers and a clear handover keeps the posts filled without exhausting the same guards.

Apartment staff work three shifts, with weekly offs that must be covered. A guard who calls in sick at six in the morning leaves the night man to stay on, and by afternoon he is tired and short with a visitor. Housekeeping starts early, technicians are on call for the pump and the generator, and festival days bring double demands. The committee looks at the gate and sees only whether it is covered.
A workable process is built around the posts, not the persons. It lists every post and shift, shows who is on and who covers, sets limits on extended duty, and records handovers. Leave is planned ahead of festivals and holidays, and relievers are inducted before they are needed. The committee is shown simple numbers on attendance every month.
How to set it up
1. List each post and its shifts
Gates, patrol, lobbies, lifts, pumps, pool and desk. For each, write the shift times and the minimum people needed. This is the base for any rota.
2. Build the weekly off and leave pattern
Rotate offs fairly, publish the rota a week ahead and plan leave around festivals and school holidays. Staff must see that cover is arranged, not improvised.
3. Name and induct relievers
Hold a few relievers who know the complex and each post, and call them first. A reliever who has never seen the gate is a risk.
4. Limit extended duty
Set a maximum for staying back after a shift and a rule for rest. Ask the supervisor to report any breach. Tired guards and technicians make errors that residents notice.
5. Record the handover
A short log at each change of shift with open issues, keys and visitors in progress. Review a sample weekly. The HR reporting and analytics page covers how to report to the committee.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count the hours last month when any post was below its minimum.
- Ask a guard how many times he stayed beyond his shift last week.
- Check whether the committee has ever seen an attendance summary.
- Read three handover logs and see whether another person could act on them.

Questions owners ask
It depends on the number of posts, weekly offs and the absences you actually see. Work it out from your own records, then hold a small pool and review it every quarter.
Plan leave months ahead, ask people for their needs early and offer fair swaps. Staff who know leave will be handled fairly are less likely to disappear without notice.
Yes, with the supervisor's approval and a note in the rota. This gives flexibility and helps people with family needs. Without approval, the gate may end up with the wrong person.
