Attendance, shift and leave process for Recording studios: late sessions, rest and weekend bookings
Studios are open when artists are free, which is evenings, nights and weekends. A clear rota, a rest rule and a fair way to share the awkward slots keep engineers from burning out.

Without a rule, late sessions go to whoever is willing, and the willing ones tire. Leave is taken informally, and when two engineers are away in the same week a booking is moved at the last minute. Assistants are told to come in "when needed", which usually means unpaid waiting.
A simple rota built from the booking diary solves most of this. Sessions are assigned by skill and fairness, rest follows late nights, and leave is requested early enough to be matched with the diary. The rota is shared with everyone, so nobody learns of their weekend from a message on Friday.
How to set it up
1. Build the rota from the booking diary
Each week, list the sessions and mark the skill needed. Assign engineers and assistants before the week starts.
2. Write a rest rule
A minimum gap after a session that ends late, and who covers the slot next morning. Display it where the team sees it.
3. Share late and weekend slots fairly
Keep a running tally of who took the late sessions this month, and rotate. Mention the tally in monthly reviews.
4. Set a notice period for leave
Ask for leave dates early enough to check the diary. Mark busy weeks, such as album deadlines, in advance. See shift and leave planning for a format.
5. Record assistant hours honestly
Note when assistants arrived and left, including waiting time. Review it monthly so unpaid waiting does not become habit.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count late sessions per engineer last month and see whether it was even.
- Ask an assistant how many hours last week were spent waiting.
- Check how many bookings moved because of leave.
- See whether the rota reaches the team at least a week ahead.

Questions owners ask
That would wear people down and may conflict with rules on rest and working hours. Rotate weekend work and ask a qualified professional what limits apply to your studio.
Keep a second person trained on each session type and a small list of trusted freelancers. A short message template to rebook or reassign helps the studio manager act quickly.
Record it, and decide with a professional how it is to be handled. Often the better fix is to call assistants for when they are needed, using the diary.
