Medical distributors · Attendance, shift and leave process

Attendance, shift and leave process for Medical distributors: godown shifts, delivery runs and month-end overtime

Orders taken by noon must leave the godown by evening. Clear shift rules, a way to record long delivery days and a plan for month end keep goods moving without wearing out the crew.

Why attendance, shift and leave process matters in medical distributors

A distributor's day is driven by orders. Picking starts early, vans leave late morning, drivers return in the evening, and a late order can extend the day. Month end brings extra work as schemes close. Attendance is often tracked on a register that the supervisor fills in later, and overtime is a verbal promise. Some people are paid for long runs and others are not, which breeds quiet anger.

A simple process sets the shifts for godown, drivers and billing, records attendance at the start and end of each day and notes overtime when it happens. It explains how extra hours are paid or given back as time off, how leave is requested and what happens at month end. Rules on working hours and overtime should be confirmed with a qualified professional.

How to set it up

  1. 1. Describe the working day for each group

Godown, drivers and loaders, billing, and field salesmen. Write the usual start, end, break and the point where an order becomes too late for same-day dispatch.

  2. 2. Record attendance at start and end

A register or a simple entry kept by the supervisor and checked daily. Note lateness and overtime when they occur, not at month end.

  3. 3. Set the overtime rule

Say who may order it, how it is recorded and whether it is paid or taken as time off. Apply the same rule to all. See the attendance, shift and leave process page for how we would shape this.

  4. 4. Plan the month-end

Mark the scheme closing dates on a shared calendar, arrange extra hands and a rest day after. Tell the team early.

  5. 5. Run a leave routine

How much notice, who approves and who covers. At festival peaks, decide by rotation rather than by who asks first.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Look at last month's overtime by person and see whether a few carried most of it.
  • Ask a driver when he last finished a day later than planned and what happened.
  • Check whether the register is filled in daily or later from memory.
  • See how many people are away together at festival time.

Questions owners ask

Record start and return times on a simple trip sheet signed by the driver and the supervisor. It protects both sides in any later question about hours.
