HR documentation process for Pet Boarding Centres: care cards, staff files and handover notes

In a boarding centre, paper does two jobs: it protects animals when staff change and it protects the business when something goes wrong. Both depend on short, current records.

Why HR documentation process matters in pet boarding centres

Care information often lives in a caretaker head or on a scrap of paper on a kennel door. Which animal is on which medicine, who is nervous around men, who should not be walked with others. When the shift changes, the new person asks around. A small gap, such as a missed dose or a missed warning, can become an incident and a complaint.

Staff files are similar. Appointments, IDs, emergency contacts, training and pay arrangements are kept loosely. A tidy set of records makes handovers safer, helps onboarding and gives the owner evidence if an owner or authority raises a question. Keep them simple and review them each month.

How to set it up

  1. 1. Create an animal care card

One card per animal: name, owner contact, feeding, medicines, temperament, warnings and vaccination papers received. Update it every stay.

  2. 2. Use a handover sheet

At every changeover, the outgoing caretaker lists animals in, animals out, medicines due and anything unusual. The incoming caretaker signs.

  3. 3. Build a staff file

Joining details, ID, emergency contact, training done, pay basis and any incident involvement. Keep it locked.

  4. 4. Log incidents and complaints

A short form for each, kept with the manager. Review monthly for patterns.

  5. 5. Decide what to keep and for how long

Ask a qualified professional which records must be retained and for how long. Archive with dates and clear what is no longer needed.

Check these first

Before changing anything, find out what is true today. These take an afternoon and use your own records.

  • Pick three animals in the centre and see whether the care cards match what staff say.
  • Check whether handover happens on paper or by word of mouth.
  • Count staff files with missing emergency contacts.
  • Look at where owner complaints are stored.

Questions owners ask

Yes, for every stay. Even a short one prevents mistakes with feeding or medicine and helps a new caretaker. Make the card short enough that people actually fill it in.
