HR reporting and analytics for Digital Printing Shops: a daily queue view and missed-date counts
A digital shop lives on same-day promises. Simple reports on the queue, missed dates and rework show where the counter and the machines are out of step.

The counter promises a date without a look at the queue, and operators absorb the rush. Poor customer files are fixed ad hoc, and nobody counts how many jobs needed it. Missed dates are remembered by the owner as a feeling, not as a number, so the same cause comes back every exam, election and wedding season.
Good looks like a one-page daily board of jobs and machine capacity, a weekly count of missed dates with the cause, and a list of the commonest file problems. A monthly look at orders by week shows the next rush early. The reports are short enough that the owner reads them and acts.
How to set it up
1. Build a daily queue board
Jobs due today and tomorrow, by machine and finishing step, on a whiteboard or shared sheet. The counter checks it before promising a date.
2. Count missed dates weekly
For each missed promise, note the job, the promised and actual date and the cause: file fix, machine, media, finishing or staff. Keep it to one line each.
3. List the file problems
Write the five commonest, such as bleed, resolution or colour mode, and who fixed each. This is the start of a file guide.
4. Chart orders by week
Look back over past exam, election, wedding and festival rushes and mark the peaks. Our HR reporting and analytics work keeps such reports short and usable.
5. Read the reports in a short weekly meeting
Ten minutes with counter, operators and finishing. Pick one cause to fix each week and check it next time.
Check these first
Before changing anything, find out what is true today. These take an afternoon and use your own records.
- Count jobs promised for a date that was missed in the last week.
- List the five commonest file problems and who fixed them.
- Mark the weeks of last year when orders rose sharply.
- Check how many jobs needed reprinting and the reason noted.

Questions owners ask
A weekly count of missed dates with a cause for each. It costs minutes to keep and shows quickly whether the counter, the files or the machines are the main problem.
Not at first. A whiteboard and a shared sheet are enough. Move to software when the volume of jobs makes the sheet slow, not before. See [software for HR reports](/software/hr-reports-automation) later if needed.
Look at causes first: files, machines, media, finishing. Share the numbers with the team and ask for fixes. Reports used to blame stop being filled in honestly.
